Guide schedules and assignments
Make a Guide available through a schedule or direct assignment.
Use a direct assignment when a person should keep a Guide in their launch queue. Use Schedule when the Guide should appear at a specific time, repeat, or carry a reminder. The two remain separate even for the same Guide and person.
You need edit access to the Guide to create, change, or archive its assignments and schedules. CareMap shows only the people, care teams, and Guide content available through your current access.
Assign a Guide directly
- Open Library, select the Guide, and open its Guide workbench.
- In Assignments, select Assign.
- Choose one or more visible people, care teams, or both. A care-team choice creates an assignment for each eligible person in that team.
- Optionally set a Due date and add Notes.
- Select Assign selected and review the created, skipped, or rejected counts.
A person can have only one active assignment for the same Guide. CareMap skips that person during a bulk assignment when an active assignment already exists.
Active assignments appear under Home > For you and in People. Those with due dates can also appear under upcoming work and in Schedule. They follow the signed-in account across workspaces but remain visible only while the account can access both the Guide and person.
Update or archive an assignment
Open the Guide workbench and find the person under Assignments:
- Select Edit to change the Due date or Notes on an active assignment.
- Select Play to launch the Guide with its assignment and person context.
- Select Archive to remove the assignment from the active launch queue.
Completed and archived assignments are read only. Their activity and results remain available according to current access. See Guide completion and Reports for what a submission records.
Schedule a Guide
For a quick one-time schedule while editing a Guide:
- Open Guide > Schedule guide.
- Confirm the title, time, timezone, optional Subject, and Reminder.
- Select Schedule guide. The confirmation can open Schedule or launch the scheduled Guide immediately.
For more options, open Schedule and select Schedule content:
- Choose Guide, select the Guide, and choose who the work is About. Choose yourself, one visible client, or multiple clients.
- Set the first time and timezone. Under Repeats, choose One-time, Daily, Weekly, Monthly, or Yearly. Repeating schedules can also set an interval and an optional end date.
- Choose the reminder and color, then select Save schedule.
- If CareMap reports an overlap, change the person or timing. Use Save with overlap only when the overlap is intentional and that action is offered.

Manage scheduled work
Open Schedule, move to the date, and select the item. Launch begins the Guide with its schedule and person context. Submit the Guide to complete the occurrence; launching alone does not.
For a schedule you can change, use Edit schedule or Delete schedule. A recurring occurrence can also offer Skip, Reschedule, Mark occurrence done, or Clear exception without changing the rest of the series. Deleting a schedule removes future planned work but keeps completed responses and Reports.
Fix common problems
- A person or care team is missing: Confirm the active workspace and your access to that person. Archived people and people with an existing active assignment for this Guide are not offered for a new direct assignment.
- Some bulk assignments were skipped or rejected: Review the result counts. Correct duplicates or access, then assign only the remaining people.
- A schedule is missing: Open the workspace that owns it, move to the expected date, and clear Schedule filters. An assignment without a due date does not create a dated Schedule item.
- Edit or archive actions are unavailable: Confirm that you still have edit access to the Guide. Completed or archived assignments are read only.
- A reminder does not appear: Open Schedule and check the item's reminder state. Home and Schedule remain the reliable places to find the work.
