Schedule exceptions and conflicts

Change one recurring occurrence and respond to scheduling conflicts.

An exception changes one occurrence of a recurring schedule without changing the rest of the series. Use an exception when one date should be skipped, rescheduled, or marked done but the recurring pattern should continue.

Occurrence actions are available for projected dates in a recurring schedule that you can edit. A one-time schedule uses Edit schedule instead. An assignment due date is managed from its assignment rather than with Schedule exception actions.

Change one recurring occurrence

  1. Open Schedule and move to the date that contains the occurrence.
  2. Find the occurrence. In a calendar view, select it to open its details if the actions are not already visible.
  3. Choose the action for this occurrence:
    • Skip opens a dialog where you can add an optional skip reason.
    • Reschedule asks for a new start date and time and offers an optional note.
    • Done or Mark occurrence done records completion without changing the rest of the series.
  4. Review the details and save the action.

Skipping removes that occurrence from active Schedule views. Because the skipped occurrence no longer appears, Schedule does not currently offer a way to restore it from the active range.

Rescheduling keeps the occurrence attached to its original series and retains its existing duration. The card shows Rescheduled and its original time, while the rest of the recurring pattern stays unchanged. If the replacement is outside the range you are viewing, move to the new date to find it.

For a visible occurrence labeled Rescheduled or Marked done, choose Clear or Clear exception to remove the saved exception. The occurrence returns to its original date, time, and schedule state, so it may move out of the range currently on screen.

Respond to an overlap warning

CareMap checks for overlapping active schedules for the same person when you create or edit a schedule or reschedule an occurrence. If it finds a conflict, the warning lists the conflicting schedule title, time, person, and Guide.

When Schedule overlap needs review appears:

  • When creating or editing a schedule, revise the person or schedule timing. When rescheduling one occurrence, choose a different New start. Then save again.
  • Select Cancel to leave without saving.
  • If the overlap is intentional, select Save with overlap. This saves both schedules as separate items; it does not merge or complete either one.

Skipped and done occurrences do not count as active conflicts. CareMap also excludes the schedule or occurrence you are currently editing. An intentional overlap is recorded for administrative review.

If an action is missing or fails

  • Confirm that the item is a projected occurrence from a recurring schedule. One-time schedules and assignment due rows do not show occurrence exception controls.
  • Confirm that you have edit access to the scheduled Guide in the active workspace. View-only access does not permit changes.
  • If a saved change moves the occurrence, switch to the replacement date and clear any active Schedule filters.
  • If saving reports an error, leave the action dialog open, check the entered date and time and your connection, then try again. An overlap warning must be resolved or explicitly saved with Save with overlap.
