Understand Schedule content and About permissions

Check workspace, source edit access, and permission to record work About another person.

Creating planned work requires access to its source content and, when selecting another person, authority to record work About them.

Check access before scheduling

  1. Open the workspace where the source Guide or Form belongs.
  2. Find the source in Library and confirm that you can edit it.
  3. Open Schedule, select Schedule content, and choose the source.
  4. Under About, choose Me or search for an eligible person.
  5. If a source or person is missing, use the checks below before trying again.

Source content controls schedule management

The creation picker offers active Guides and Forms you can edit in the selected workspace. Read access to a shared Guide does not, by itself, allow scheduling it.

A schedule belongs to the workspace of its source content. Choosing a subject does not move that schedule into the subject's personal workspace. The picker does not combine content from all workspaces.

Edit, Duplicate, Delete, and occurrence-management actions depend on the source's current edit permission. A person who can see a calendar item may still lack those actions. Assignment due items have separate, read-only Schedule controls.

Archived source content is excluded from creation choices, and ordinary Schedule management actions are unavailable while the source is archived. Ask an authorized content manager to restore it if work should resume.

About permissions are separate

Selecting another person requires permission to view Reports About them and record Reports About them, or effective Guardian authority. Organization staff membership, client membership, or visibility of a profile alone does not supply that recording permission.

The Schedule person picker includes eligible person profiles. A Contact that has no corresponding eligible person entry may be available in other About flows without appearing here.

Me leaves the schedule without a specifically selected client. Choosing Multiple clients creates work About those people for authorized operators; it does not assign the work to their accounts.

See Contact permissions and Guardian authority.

When an item is visible but unavailable

Schedule visibility can come from subject access even when the source is not available in Library. That does not guarantee permission to launch or edit it.

Check the source's lifecycle and folder access, the active organization membership, and current About permissions. Access is checked again when saving; an earlier picker selection is not a permanent grant.

For missing dates or stale results, use Schedule recovery. For partial multi-person results, use Multiple clients.
