Notes and Schedule

Edit, duplicate, or delete a schedule

Change planned work, copy series settings, and understand deletion and current editing limits.

Use a scheduled item's actions to change planned work, make a new schedule from it, or remove it.

Edit a schedule

  1. Open Schedule in the item's workspace and locate the date.
  2. Open the item's details or actions menu.
  3. Choose Edit schedule, or Edit series for recurring work.
  4. Review Content and About, Time, and Options.
  5. Select Save schedule or Save series, then inspect the updated item.

You need edit access to the source. Assignment due items do not offer these schedule-management actions.

Editing can change the title, source Guide/Form, selected person, times, timezone, recurrence, reminder, and color. It preserves the schedule's completion state; a metadata edit does not reset completed work to Queued.

Know the editing limits

Selecting Me on an existing person-specific schedule currently retains the saved person. Clearing an existing End currently retains the saved end time. Do not treat either cleared control as confirmation that the saved value was removed. Reopen the item to verify its values.

An End you enter must be later than Start. When moving a schedule, review both fields; the editor does not automatically move End by the same duration.

For a recurring item, Edit series loads the series' original start and recurrence settings. Review Reminder, Timezone, and End when opening from a rescheduled occurrence: its effective reminder and timezone, and its End when the series has no saved End, can populate the editor. Shared changes apply across the series. Occurrence overrides remain only while they still match that recurrence. Use exceptions to change one date instead.

Duplicate planned work

Choose Schedule again to open a new creation draft populated from the source schedule. Review all three steps, especially the subject, original start, recurrence, and any End, before saving.

Duplicating a recurring occurrence starts from its series settings. It does not mean “copy only this displayed date.” Choose One-time and the intended time if that is what you need.

The new schedule gets its own identity and starts Queued. Its completion history and occurrence exceptions are not copied. The original remains unchanged.

Delete planned work

Choose Delete schedule, review the confirmation, then confirm Delete schedule or Delete recurring schedule.

Deleting a series removes the entire schedule across all dates, including outside the visible range, and removes its skipped, rescheduled, and completed occurrence exceptions. Pending reminders are canceled. Completed responses and Reports are kept.

Deletion cannot be undone. Use Skip for one recurring date instead. If deletion fails because another editor changed the item, close the confirmation, refresh or reopen the current item, and review it again before deleting.
