Aggregate Reports
Combine eligible Report results into a broader view.
An Aggregate Report combines matching Guide or Form Reports into a private snapshot. Use one to review answer patterns, numeric results, and changes over time without changing the source Reports.
Create an Aggregate Report
- Open Reports and select Aggregates.
- Select Create aggregate.
- Enter a name, then choose Guide or Form and select the source.
- Under Match, choose whether Reports must be about the selected people, recorded by them, or either. Then select one or more eligible people.
- Choose a date range and confirm the timezone. For Custom range, also choose the start and end dates.
- Optionally select Use AI summaries.
- Review the preview, then select Create aggregate.
The preview shows the matching Report count, people count, and readable answer count. CareMap enables creation only when at least one Report matches. Sources, people, and Reports are limited to information you can view in the current workspace.
If AI funding is low or unavailable, CareMap can still calculate the standard aggregate results. AI use may consume credits from the workspace associated with the selected source.
Follow generation
CareMap prepares the snapshot in the background and shows its progress. Common stages include Queued, collecting answers, calculating results, and writing summaries.
- Ready means the calculated snapshot is available.
- Ready · AI partial means the calculated results are available but some or all AI summaries did not finish.
- Failed means generation did not finish. Open the Aggregate to read the message and select Retry generation when that action is available.
- New reports means additional Reports now match the saved definition. Select Refresh to build an updated snapshot.
When you refresh an existing Aggregate, its previous snapshot remains available while CareMap builds the replacement.
Review the snapshot
Open an Aggregate and use its three sections:
- Summary shows its Report and people counts, range, generation time, AI state, freshness, and overall coverage. It shows an AI summary when one was completed, or a calculated coverage summary otherwise.
- Results groups readable answers by field. Choice fields show counts and percentages, number fields show statistics and ranges, and other supported fields show their recorded responses. Each field also identifies missing responses.
- Timeline shows supported answer patterns across the snapshot period. The same values are available in tables as well as charts.
An Aggregate is a snapshot, not a live replacement for its source Reports. New matching Reports do not change the displayed results until you refresh it.
Rename or delete an Aggregate
Open the Aggregate and use Rename to change only its display name. Use Delete to remove the private snapshot and its generated summaries. Deleting an Aggregate does not delete the Guide, Form, or source Reports used to build it.
Aggregate screens do not currently provide a file download. To save a copy of an individual Report, open that Report and use its available JSON or PDF export.
If an option is missing
- If Create aggregate, Refresh, Rename, or Delete is not shown, the current workspace, access, or License may not allow Aggregate changes.
- If a Guide, Form, or person is absent, confirm that it is visible in the current workspace and eligible for the selected match rule.
- If the preview shows No matching reports, change the source, people, match rule, date range, or workspace before trying again.
- If progress does not update, reopen the Aggregate. For a failed generation, use the visible retry action or share the displayed message with your workspace manager or CareMap support.
Aggregate results can contain sensitive Report information. Review and share them only through an approved workflow.
