Reports
Create an Aggregate Report
Choose a source, people, dates, and AI preference, preview matching Reports, and start background generation.
Create a private snapshot from matching Guide or Form Reports. You need the Report Aggregates License grant and available controls in the selected workspace. See aggregate access if creation is missing.
Choose and preview the inputs
- Open Reports > Aggregates in the appropriate workspace. Select the Create report aggregate plus button, or Create aggregate in the empty view.
- Enter a Name of up to 255 characters.
- Choose Source type and select a Guide or Form.
- Under Match, choose Reports about selected people, recorded by them, or either. Select individuals, or use Organization clients when offered.
- Set Date range and confirm Timezone. For Custom range, enter Start date and End date.
- Review Use AI summaries, the matching Report and people counts, readable answers, and any estimated AI use or funding message.
- Wait for the current preview, then select Create aggregate.
See people and matching and aggregate dates for selection rules. At least one matching Report is required. Changing the source, people, range, or other options requires a new preview before creation.
Sources come from Reports visible in this workspace; this is not a list of every Guide or Form in your Library. A combined Guide + Form Report can match either source selection, with that selection determining which answers are aggregated.
Check the AI choice
CareMap can initially select Use AI summaries when the source workspace's funding is available. Changing the source resets this automatic choice, so check it again before creating the aggregate.
AI uses the recorded source workspace's funding. The estimate is not a final charge. Low or unavailable AI funding can leave calculated results available without completed AI summaries. AI also requires the source workspace's applicable License grant; a permission or License error can stop the request. Clear Use AI summaries if you want calculated results only. Review AI evidence and credits and recovery for the full rules.
After creation
The aggregate opens while generation runs in the background. Membership and Report contents are captured when generation begins, so the final counts can differ from the earlier preview. Changes after capture need a new generation.
Follow progress, refresh, and cancellation. The definition's source, people-selection rule, dates, timezone, and AI choice cannot be edited afterward. Create another aggregate for different criteria.
For No matching reports, check workspace, source, Match, people and dates. If access changes, the creation flyout can close; restore access and reopen it. After an uncertain connection failure, check the aggregate list before submitting again to avoid creating another snapshot.
