Aggregate people and matching

Choose individuals or organization clients, understand About versus Recorded by, and review saved membership.

An aggregate's people selection determines which visible Reports can match. It does not grant access to additional Reports.

Choose individuals

  1. Open aggregate creation and select a source.
  2. Set Match to Reports about selected people, recorded by selected people, or recorded by or about selected people.
  3. In an organization workspace, choose Choose individual people under People to include.
  4. Search for people and select the intended entries. Use the picker pages to continue searching.
  5. Review selected people and remove unwanted or Person unavailable entries.
  6. Check the matching Report preview before creating the aggregate.

You can select up to 500 individuals. The picker includes eligible identities from Reports visible in this workspace and your own account. It is not the entire People directory. Linked Person and account identities can match the same person's recorded activity.

Changing Match can make a selected person unavailable; review the retained selection rather than assuming every selected entry still qualifies. Selecting someone does not guarantee a matching Report for this source or range.

Understand Match

  • Reports about selected people uses the Report's About identity.
  • Reports recorded by selected people uses the recorder's account, including an account linked to a selected Person.
  • Reports recorded by or about selected people accepts either relationship.

A Report matching both relationships is included once. Choosing a client as Recorded by does not include every Report a staff member recorded about that client. Use About for that purpose. Review About and Recorded by when the distinction matters.

Include organization clients

In an organization workspace, choose Organization clients under People to include. This uses clients currently assigned to that organization that you can view, including clients with no matching Reports.

Leave Client status (optional) blank for all statuses, or enter an exact status such as Active. Matching ignores capitalization. Blank does not mean active only: inactive or archived clients can be included if otherwise visible and assigned. This selection is separate from choosing up to 500 individuals.

The preview's people count describes the selected group, not only people with matching Reports. Generation captures group membership when it begins. Membership has not been captured yet means that capture is still pending.

Refresh reevaluates organization assignments, visibility, and the saved status criterion. The prior snapshot and its saved participant list remain available until a replacement completes. In Summary, use Browse all … participants when the initial name preview is incomplete.

For roster changes, see Organization Clients. A saved aggregate is private to its creator; choosing an organization group does not share it with that organization.
