Export and share Reports

Export supported Report information and understand its sharing source.

Export a Report when you need a saved copy of the result. Exporting or recording a sharing destination does not grant new access to the Report and does not create a public link.

Export a Report

  1. Open Reports, then open the Report you want to export.
  2. Select JSON for a structured data file or PDF for a readable document.
  3. Save or share the file using the prompt provided by your browser or device.

CareMap includes only the Report information and evidence you are allowed to view. Restricted evidence and unsafe access details are not included. If the Report's evidence is redacted, CareMap disables export actions and explains that evidence visibility is required.

Export preparation may finish immediately or continue in the background. If a file does not open or download right away, use Export history on the Report to follow its progress.

Track and download exports

Export history shows the format, creation time, and current state of each export:

  • Queued or Running means CareMap is still preparing the file.
  • Ready means the artifact is available; select Download to save it.
  • Failed means preparation did not finish. Read the reason and select Retry when that action is available.

A failed job may stop offering Retry when the failure cannot be retried or the maximum number of attempts has been reached. Access is checked again when you download or retry, so an earlier export does not bypass a later access change.

Record a sharing destination

After an export is Ready, its available sharing actions can include:

  • Send to me to record yourself as the destination; and
  • Org context when the Report is visible through an organization.

These actions add an entry to Delivery history, including the destination, retry state, and safe artifact details. A Recorded state confirms that CareMap saved this delivery record; it does not create a public link or confirm receipt through an external service.

Delivery history can also show Queued, Sending, or Failed. For a failed delivery, use Retry only when CareMap offers it. If Org context is not shown, the Report does not have the required organization visibility context; use an available destination or ask the appropriate workspace manager to review access.

Understand the Report source

The Source shown in the Reports inbox describes how the Report originated or why it is visible to you. It can identify a direct run, assignment, schedule, or reminder. For other Reports, it may show Self, a guardian relationship, a care team, or Organization Staff context.

Source information is not a sharing receipt. It does not mean the Report has been sent to another person, and it does not provide a link that can be shared.

If export or sharing is unavailable

  1. Read any evidence-visibility or access notice on the Report.
  2. For a Queued or Running export, allow preparation to finish, then reopen or refresh the Report if needed.
  3. For a Ready export, select Download from Export history.
  4. For a Failed export or delivery, use Retry when it is offered.
  5. If the required action remains unavailable, confirm that you opened the intended Report and workspace, then ask the person responsible for that Report's access or organization context for help.

Report files can contain sensitive information. Save or share them only through an approved workflow and store downloaded copies securely.
