Manage Packages and Licenses

Use Admin > Access > Licensing to build reusable Packages and assign them as Licenses on accounts and organizations.

A Package defines default commercial terms, expiration, and grants such as content use, authoring, storage, or monthly AI credits. A License assigns one Package to one account or organization with target-specific terms.

Licensing grants product capability. It does not replace administrator access, organization membership, folder permissions, report visibility, or other workspace access rules. Non-administrators see Admin access is required.

Define Packages

Open Admin > Access > Licensing. Use Refresh for current data, and New Package to create one. The table shows status, holders, annual revenue projection, default charge, and grant count. Active Packages are editable; inactive Packages are read-only.

In the editor, Properties sets the name, USD amount, cadence, expiration, and description. Grants selects capabilities and quantities. Overview shows state, revision, holders, revenue, successor, timestamps, and grants.

Boolean grants add capabilities. Quantity grants add allowance, such as storage GB or whole-number monthly AI credits. Quantities add across active Licenses; boolean capabilities turn on when any active License supplies them. Package defaults initialize future License forms; changing defaults does not rewrite existing License terms.

Package grants are live. When you confirm a grant revision, active holders resolve the new grant set without separate License updates. Before saving, review any impact summary showing affected accounts, affected organizations, and grant changes.

Configure the Base Package

The Base Package control sets the global default Package for every account and organization. CareMap assigns it at $0 with no expiration. Targets reconcile lazily when they next synchronize; saving does not run a bulk update.

Choose the Package, select Save Base, then confirm the change. Base Package Licenses are managed by the global configuration, so account and organization License panels do not offer row-level correction or revocation for them.

Assign Licenses

To manage an account License, open Admin > Access > Users, open the user, select License, then use Add Package. For organization Licenses, open Admin > Access > Organizations, open the organization, select Licenses, then use Add Package.

In the License dialog, choose a Package, review the read-only grant preview, enter the amount, choose Monthly or Yearly, and either keep Never expires selected or set Expires. A target can hold several active Packages, but not duplicate an active Package.

Review and correct License state

Each account or organization License panel shows Effective grants, the combined result of all active Packages for that workspace. The summary can include content, catalog, notes, report aggregate, account-only guardian, storage, and next-cycle AI credit grants.

Account Licenses apply to the account's personal workspace. Organization Licenses apply to that organization workspace. A personal License does not add capability to an organization workspace, and an organization License does not license the member's personal workspace.

The Active License Packages table shows Package, dates, source, commercial terms, and grants. Use Correct terms to fix amount, cadence, or expiration on an active non-Base License. Use Revoke to stop grant contribution immediately; the License remains in Past Licenses with any reason. Use Reissue there when the Package is still assignable.

Retire Packages and compare billing

Open a Package and use Retire Package or Archive Package. If active targets still resolve it, choose a successor. If no active target uses it, CareMap archives it while preserving history and audit records.

Licensing defines Packages and assigns or corrects Licenses. Admin > Access > Suppliers controls which Packages a Supplier organization may supply and its commercial terms. Admin > Dashboard > Billing is read-only; it summarizes value and payments without changing Licenses.

If a value looks unexpected, refresh Licensing first, then compare the target License, Package grants, Supplier agreement, and Billing dashboard generation time. When asking for help, include the Package name, target account or organization, visible status, expiration, source, grant, and approximate time. Do not send card numbers, sign-in details, or private care content through an unapproved channel.
