Administration
Retire or archive a Package
Replace an active Package with a compatible successor or archive one with no active holders.
Retirement replaces a Package's benefits for active holders. Archiving removes an unused Package from future assignment while preserving its record. Both actions require a global CareMap administrator.
Prepare the change
Open Admin > Access > Licensing and Refresh. Check the Package's account and organization holder counts and current grants.
Before retiring or archiving:
- Replace or clear the global Base Package if it selects this Package.
- Change any organization's Staff License Package or Client License Package configuration that selects it, even if nobody currently qualifies.
- Unpublish any Storefront listing and wait until its subscriptions and pending checkouts have ended. Unpublishing or scheduling cancellation alone is not enough while a subscription still occupies its billing slot.
- If holders remain, create or choose an active successor with the intended grants. It must support every affected target type.
For example, an account-only Guardian Package cannot replace a Package used by organizations. Retirement changes access; choose the successor deliberately.
Retire a Package with holders
- Open the Package and select Overview.
- Find Danger Zone and select Retire Package.
- Check the affected account and organization counts.
- Review Successor Package; a choice may already be filled in.
- Select Retire Package in the confirmation.
- Refresh Licensing and check the successor and affected recipients.
The old Package becomes Retiring and read-only. Its successor's live grants apply to affected Licenses. New assignments use active Packages.
As a recipient's Licenses synchronize, the assignment moves to the successor while retaining its commercial terms and expiration. If the recipient already holds that successor directly, CareMap retains that assignment and moves the redundant one into revoked history. Benefits do not stack simply because two Packages were consolidated.
Retirement is not the same as reissuing a License. Do not assume it grants a fresh cycle of AI credits; check current Usage.
Archive a Package without holders
- Open the Package's Overview.
- Under Danger Zone, select Archive Package.
- Review the confirmation and select Archive Package again.
- Confirm that the Package is Archived.
No successor is required when no active recipient resolves the Package. It remains viewable read-only, and existing history and audit records remain. The editor offers no restore-to-active action.
Handle a rejected change
The current Base, role configuration, billing activity, holder counts, or successor may have changed since the dialog opened. Read the error, close the dialog, and Refresh before trying again.
For stopping new purchases while continuing the same Package for existing subscribers, use Storefront unpublishing. Retirement changes the capabilities existing holders resolve.
