Personal Licenses from an organization

Configure and understand personal Package benefits linked to Staff or Client status.

An organization can supply a personal License to each qualifying Staff member or Client. The License names the supplying organization and role. Its benefits apply to the person's personal workspace; the organization's own workspace has separate Licenses.

Who qualifies

  • Staff License Package covers Staff, Manager Staff, and Owners. Ordinary Members do not qualify for the Staff Package.
  • Client License Package covers accounts linked to the organization's assigned Client profiles. A Client without an account receives the License when an account is linked.
  • A pending invitation does not establish the qualifying relationship. The invitation must be accepted or the person assigned first.

An account can qualify through more than one organization or through both roles. These Licenses do not grant management authority or replace folder permissions.

Configure role Licenses as a CareMap administrator

  1. Open Admin > Access > Organizations and select the organization.
  2. On Overview, find Personal licenses for staff and clients.
  3. Choose a Staff License Package, a Client License Package, or both.
  4. Select Save role licenses and wait for Organization role licenses saved.

Choose active Packages suitable for personal accounts. Create or revise Packages in Manage Packages and Licenses. Organization management access alone does not allow this configuration.

The selection applies to existing qualifying people and those added later. Reopen the affected account's Licenses to refresh its assignment. Choose None and save to stop supplying a Package for that role. Replacing the Package ends the old role-based assignment and supplies the new one.

Review your assignment

Open Settings > Account > Licenses, then View licenses. Open a row to review its source, organization, role, dates, and grants.

These assignments cost $0 and have no expiration date. Never describes their date limit; the qualifying relationship must still exist. Administrator License tables label them Managed by organization role. They cannot be individually corrected, revoked, or reissued from those tables.

When the benefits end

The relevant role License stops contributing when Staff membership is removed or changed to Member, the Client assignment is removed, the Client's account is unlinked, or the role Package configuration changes. Past assignments remain in License history after the account refreshes. Returning later creates a new qualifying assignment rather than reactivating the old history row.

Other personal Licenses and qualifying assignments from other organizations remain intact. If several sources supply the same Package, its benefits count once, including storage and monthly AI credits. Removing one source may therefore leave the same capabilities available from another source.

If the expected License is missing, check the organization, role, Client account link, and configured Package with an administrator. Use Retry if the configuration fails to load. An administrator must change a role Package selection before retiring a Package still used by that configuration.
