Administration
Assign a License to an account or organization
Choose the correct workspace, review a Package, and issue a License with its own terms.
A CareMap administrator can assign a Package as a License to one account or organization. Choose the recipient carefully: account Licenses supply the personal workspace; organization Licenses supply that organization's workspace.
Organization Owners and Manager Staff can review their workspace's Licensing, but need a global administrator to issue or change its Licenses.
Open the recipient's Licenses
From Admin > Access:
- For a personal account, open Users, select the user, then License.
- For an organization workspace, open Organizations, select the organization, then Access > Licenses.
Check the existing active rows and Effective grants before adding another Package. A License supplies capabilities and allowance; the person still needs the appropriate workspace and content permissions.
Add a Package
- Select Add Package.
- Choose a Package and review its description and grant preview.
- Review USD amount and Billing cadence. Enter a nonnegative amount with no more than two decimal places and choose Monthly or Yearly.
- Review Never expires. Clear it and choose a future Expires date and time if the assignment should end.
- Select Add License Package and wait for the success message and updated active row.
Selecting a different Package replaces the form's starting terms with that Package's defaults. Review them again before saving. Grants are read-only in this dialog and follow the Package's current definition.
Package choices and overlapping benefits
Only active Packages suitable for the recipient appear. For example, a Package with the account-only Unlimited Guardians grant is unavailable for an organization workspace.
The picker disables Packages marked already active, including a Package already supplied by an organization role. Use Correct terms on an eligible existing direct License when the terms need changing.
Personal Main-plan Packages share one Main slot. Another active Main License or pending checkout can block assignment even when it is a different Package. Review the account's Billing before retrying.
Several sources can still supply the same personal Package, such as a direct assignment followed by organization role eligibility. Its benefits count once. To supply everyone qualifying as Staff or Client, use organization role Licenses.
Check the result
Issuing a Package with monthly AI credits refreshes the recipient's current-cycle allocation to its combined effective monthly allowance. Remaining cycle credits are replaced by that allocation; permanent credits remain separate. Check Usage, not just Next-cycle AI credits, for the available balance.
If saving fails or its result is uncertain, close the dialog and Refresh before trying again. Confirm whether the License was created, review any duplicate-assignment message, and correct invalid terms rather than repeatedly adding the same Package.
