Organization Clients
Manage organization Clients when your role provides that authority.
A Client is a Person assigned to an organization. The assignment makes that Person available to organization workflows; it is separate from Staff or Member membership and does not itself grant organization management access.
Owners, Manager Staff, and CareMap administrators manage assignments and Client invitations. Regular Staff work with assigned Clients through People and other available tools, but cannot manage the Client roster.
Open and review Clients
Use the organization workspace's Members > Clients, or the organization record's Access > Clients in Admin > Access > Organizations.
The desktop list shows Name, Status, Detail, and Magic keys (count). Mobile cards show name, email when available, and an actions menu. Use Search clients, sortable headings, Next page, Previous page, and Refresh page.
No clients assigned means there are no assignments. No clients match this search means the filter found none; clear it before concluding a Client is missing. Failed page loads offer Retry.
Assign an existing Person
- Select Add client, then Assign existing.
- Search by name, detail, status, or Person ID and select Search.
- Select the intended Person, then Assign client.
Already assigned results cannot be selected. Assignment takes effect immediately and does not create a sign-in account. A Person can be assigned without an account, but account-based features such as Magic keys, personal Client Licenses, and Shelf require the appropriate account link.
The picker follows your visibility. If the Person is missing, check the identity and ask an administrator to review it. Inviting by email does not bypass the Person picker's visibility rules.
Invite a Client
Choose Invite by email in Add client, or Invite client on Overview. Under Who will use this client access?, choose My account or search for an existing Person, then check the Invite email and select Send invite.
My account means your account as the sender and requires its email. Selecting a Person targets that Person; acceptance assigns them without changing their existing account link. These choices have different outcomes, including possible Person creation for an account that has none. See Organization invitations before sending.
Use Client account features
Assigned Clients receive the organization's optional profile properties. Staff can fill that organization's values on an accessible Client profile, including profiles without a sign-in account. Owners and managers design the definitions.
- Open Magic keys (count), or the mobile actions menu, for Create key, Copy, QR, and Revoke. Follow Client Magic keys.
- A configured personal Client License supplies benefits to the linked account while eligible.
- On an account-linked, non-archived Client's profile, Staff can use Manage Shelf to curate the organization's From organization Guide row. The Client can reorder its Guides, but cannot add or remove that organization's pins in Shelf Mode. Changing Shelf Mode itself requires the Client or an effective Guardian. See Manage a client's Shelf.
Available Report aggregates can select visible organization clients as a group, with an optional exact status filter. Group membership is captured during generation and reevaluated on Refresh.
Remove a Client
Select Remove client from the row or mobile actions and confirm. This removes only the organization assignment, not the Person or account.
Removal ends Staff access supplied by that assignment, its personal Client License contribution, and Magic key eligibility. It also removes its Shelf row and narrow Guide access. Reassigning later does not restore the old row's pins or keys. Other qualifying Licenses, relationships, and shares can still provide access. Saved organization property values remain on the Client's profile for the Client and effective Guardians to edit. Removal stops offering unused fields and ends Staff editing authority supplied by that assignment. Existing sign-in sessions are separate; use Account sessions to end them.
If an action fails or access changes, read the message, refresh the page, and confirm the correct organization and role before retrying.
