Organization Staff
Add, invite, review, and remove organization Staff.
Staff can work in an organization workspace and with its assigned Clients. Owners, Manager Staff, and CareMap administrators can manage the Staff roster; regular Staff cannot. This authority is separate from global administrator access.
Open the organization workspace's Members > Staff, or the organization's Access > Staff section in Admin > Access > Organizations.
Review and assign Staff
The desktop list shows names, emails, and Manager controls. Mobile shows identity cards with role labels and an Actions for name menu. Use Search staff, sortable headings, Next page, Previous page, and Refresh page. Failed loads offer Retry.
- Select Add staff, then Assign existing.
- Search by name, email, or account ID and select Search.
- Select the intended account and choose Assign staff.
Assignment grants regular Staff immediately; it does not create an account or turn on Manager access. Already assigned results cannot be selected.
Administrators can search the account directory. Organization managers see accounts from organizations where they have Staff access, so a missing result does not prove the account does not exist. Use a Staff invitation to invite the intended account by email when it is not available in the picker.
Invite Staff
Choose Invite by email in Add staff, or Invite Staff on Organization > Overview. Enter the recipient's email and select Send invite. Review the invitation and its delivery status on Overview.
The recipient must accept before access is granted. Acceptance sets regular Staff access. Avoid sending a duplicate Staff invitation to an existing Owner or Manager Staff member: accepting it replaces that membership with regular Staff and clears Manager access. Change existing access through the roster.
See Organization invitations for link copying, resending, expiration, and failed delivery.
Change Manager access
Select or clear Manager beside a Staff account. On mobile, choose Make manager or Remove manager access from its actions. Changes apply immediately without another confirmation.
Manager Staff can manage Clients, invitations, organization identity, devices, Magic keys, and retention holds. Their organization Licensing view remains read-only. Global administrator access is still required to issue Licenses or configure personal role Licenses.
The Manager control sets a Staff membership. Applying it to an Owner entry also replaces Owner with Staff. Removing your own Manager access can close management screens; arrange another authorized manager first if you still need the organization managed.
Remove Staff
Select Remove Staff beside the account or in its mobile actions, then confirm Remove Staff. Removal ends that organization membership, its root workspace access, Staff-visible Client access, and any personal Staff License from that organization. It does not delete the account or access independently granted through another relationship or share.
Clearing Manager while retaining Staff does not end Staff License eligibility.
Contribute to a Client Shelf
Staff, Manager Staff, and Owners can open an account-linked, non-archived Client's profile and use Manage Shelf to curate their organization's shared From organization row. They can add, remove, and reorder eligible Guides. The Client can reorder that row. Pins grant narrow playback/offline access, not general Library or authoring access.
Organization authority does not let Staff change Shelf Mode or edit another contributor's row. Shelf Mode requires the Client or an effective Guardian. Removing one Staff member leaves the shared row intact but ends that person's organization authority to edit it. See Manage a client's Shelf.
