Manage a client's Shelf

Add and arrange Guides as an authorized supporter or organization Staff member, and understand who can change Shelf Mode.

Manage Shelf lets authorized supporters curate Guides from a client's Person or Contact profile without entering passthrough. The Person must be linked to an account and must not be archived. You can prepare rows while Shelf Mode is off.

Who can manage it

Your relationshipAvailable controls
Effective Account Guardian or active Person GuardianChange Shelf Mode and manage your own From name row.
Active contact with Pin Guides to my Shelf permissionManage your own row; Shelf Mode is read-only.
Organization Owner, Manager Staff, or Staff with an active Client assignmentManage the organization's shared row; organization authority alone cannot change Shelf Mode.
Organization Member or unrelated administratorNo contribution authority from that role alone.

Account Guardian authority depends on the client's qualifying License and active contact relationship. A designation such as Emergency contact does not grant Shelf access. See Guardians and contact permissions.

To authorize an ordinary contact, the client opens that contact's Permissions, enables Pin Guides to my Shelf, and selects Save permissions. If the client uses Shelf Mode, they must first return to the normal interface to reach the contact profile.

Add, order, or remove a Guide

  1. Open the client's profile and find the Shelf card. Review its mode and visible-row summary, then select Manage Shelf.
  2. Find your From name row or the organization row marked You can manage this row. An empty authorized row can appear here before it is visible to the client.
  3. Under Guide to add, choose a Guide. Choices include its folder name to help distinguish similar titles. Select Add Guide.
  4. Use Move title up/down to change its order, or Remove title from this Shelf row to remove a pin.
  5. Wait for the success message. Select Done to close the editor.

Each add, removal, or move saves immediately; removal has no extra confirmation. Done closes the editor rather than saving a batch. Closing is temporarily disabled while a change is being saved. Pin details show who added and last updated it, when, and under which relationship.

Choices are active Guides in folders you can use. Forms, templates, archived Guides, and Guides already in that row are excluded. A personal and an organization role can give you separate rows; select the intended one. Rows start alphabetically, and Guides added after a custom reorder go at the end.

You cannot edit Scheduled, Favorites, or another contributor's row. The client can reorder contributed rows in Shelf Mode. An effective Guardian can also use Enable Shelf Mode on every device here; other contributors see only its current status.

Access and missing content

Pins grant the client access to see, download, play, and complete that Guide. They do not grant general Library visibility or permission to edit, copy, move, share, publish, or delete it. Removing the pin ends that grant; another share or pin may independently keep access available.

A supporter row requires a qualifying active relationship or pin permission. An organization row requires the Client assignment. Removing one Staff member ends their editing authority but keeps the shared row for the organization. Removing the Client assignment removes its row and pins; assigning the Client again does not recreate them.

If Manage Shelf is missing, check your authority and the profile's account link. A visible load error offers Try again. If no Guides are available, check your usable Library access and whether they are already pinned. Reopen the editor after access or content changes.

If CareMap says the Shelf changed elsewhere, it loads the latest state. Review it before repeating the action. If authority is revoked, the editor may close. For offline packages, see Mobile and offline settings.
