Organization profile properties

Design optional profile properties for assigned clients and understand who can read and edit their values.

Organizations can design optional properties for people assigned as their Clients. Staff or Member membership alone does not apply these properties to your own profile. Saved values belong to the Client's profile and appear under the source organization's name in Profile details.

Design properties

Select the organization workspace, then open Settings > Account > Usage > Profile properties. Organization Owners and Manager Staff can manage this area; ordinary Staff can fill authorized Client values but cannot design fields.

  1. Select Add profile property and enter a Property label and optional Help text.
  2. Choose Short text, Long text, Number, Calendar date, Yes/no, Single choice, or Multiple choice. Add named choices where needed.
  3. Check Contains an identifier for case numbers, external client IDs, or other identifier values that must be excluded from AI summaries and search.
  4. Select Save. Assigned Clients receive the available property immediately; this does not create an answer for them.

Use the move buttons to reorder properties. Edit a definition to rename it, change help text, rename or retire choices, or set its Property status to Retired. A saved property's type is fixed; create a replacement for a different type. All properties are optional, including Yes/no: No is a saved answer, while Unanswered means no answer. Zero is also a saved number.

Read and fill values

Open your profile or an accessible Client's profile. Saved rows are grouped by organization. Add organization property offers unanswered properties to eligible editors. Open a row and select Edit to change it, or Clear value to remove the current answer. Canceling leaves the saved answer unchanged.

The Client, their effective Guardians, and the source organization's Staff, Owners, and managers may edit while the Client remains assigned. A Guardian does not need membership in that organization. The source Staff permission is specific to that organization's properties.

Anyone already allowed to view the Client's profile fields can read these values, including people outside the source organization. A general profile write grant alone does not allow editing these properties. Ordinary Members and other Clients do not receive Staff editing authority. Properties with the same label in two organizations keep separate values.

Leaving an organization or retiring a property

Removing a Client assignment stops offering unused properties. Saved values remain on the profile, and the Client and effective Guardians may continue editing or clearing them. Former Staff lose authority supplied by the assignment. An independent profile-view grant may still let them read values.

Retiring a property preserves existing answers for otherwise authorized editors. Retired choices remain understandable in saved selections but cannot be newly selected. Later definition changes do not reinterpret a former Client's retained answers. Rejoining reuses compatible saved values. Deleting the organization preserves the Client's values and recorded source name.

Summaries, citations, and recovery

Descriptive values may inform authorized Profile AI summaries and search. Identifier values are excluded, including known identifiers copied into descriptive content. Exact identifier reads require an explicit authorized request. Saving values does not start paid generation, and AI does not change your authored answers.

Citations open the exact saved revision read-only. Older revisions are marked; cleared or inaccessible sources become unavailable.

Failed saves retain drafts. Retry save retries the same request after a lost response. For a conflict, select Review latest version, compare the saved answer, and use Keep my draft and use this version only after reviewing it. If access is revoked while editing, the draft stays visible but saving is disabled. Cancel and review the current assignment or permissions.
