Guardians and care teams
Understand how Guardian and care-team relationships can provide access to another person's care work.
Guardians and care teams let trusted CareMap accounts support another person. They grant different kinds of access, so use the narrowest relationship that fits the work.
Compare the relationships
- An account Guardian is an active contact who can use Pass through to help operate the account owner's personal workspace, Reports, Record, Notes, and schedules. This does not let the Guardian manage contacts, other Guardians, licenses, the account, or organization workspaces.
- Delegated access is attached to one Person in People. It can use a relationship label such as Guardian and provides person-scoped access; it does not provide account passthrough.
- A care team connects active members with one or more assigned clients. Membership can make those clients' People entries, Schedule items, and Reports available. A care-team role does not automatically grant access to Library folders or unrelated people.
Set up the right access
To designate an account Guardian:
- Open People > Contacts and select an active contact.
- Select Permissions, turn on Guardian, and select Save permissions.
- The Guardian opens your contact profile and selects Pass through. They should confirm the Viewing as banner before making changes.
The Guardian designation is available only when the account has the required Unlimited Guardians grant. It becomes effective only while that grant and the contact relationship are active.
To organize support around a client, an administrator can open the client's Profile, select Manage care team, create or choose a team, assign the client, and add or invite members. An invited member must sign in with the invited account and select Accept under People > Invitations before care-team access begins.
When Delegated access is available on a Person's profile, an authorized administrator, organization Staff member, or care-team manager can enter an existing CareMap account email and a relationship label. The section shows active and revoked relationships.
When access is missing
- If Guardian is unavailable or marked suspended, confirm the contact is Active and the account owner's Guardian grant is active.
- If a care-team invitation is missing, confirm the invited email, expiry, team state, and client assignment. Pending invitations do not grant access.
- If accepted care-team access disappears, ask an administrator to check that the team, membership, and client assignment are all active.
- If person-scoped access is wrong, review Delegated access on that Person instead of changing the account Guardian or care-team relationship.
Turning off Guardian, revoking delegated access, removing a team member or client assignment, or deactivating a team ends that access path. It does not erase earlier Reports, invitations, or recorded activity.
