Manage delegated access to a Person
Add, relabel, revoke, or restore a Person Guardian relationship without granting account passthrough.
Delegated access grants an existing CareMap account a Person Guardian relationship with one Person. Use it to support that Person's care profile without entering their account.
Who can manage it
A CareMap administrator can manage these relationships. Organization Staff
with management access to the assigned Person, and care-team members with the
role admin, manager, or owner for that Person, can also manage them.
An organization title or Guardian relationship alone does not make someone a
CareMap administrator.
The recipient needs an existing account. This workflow does not send an invitation or require acceptance, an active contact connection, or the Unlimited Guardians grant used for account Guardians.
Add access
- Open People > Clients and choose the Person.
- On Profile, find Relationships > Delegated access.
- Enter the recipient's account Email.
- Set Relationship, or keep Guardian. Labels can contain up to 80 characters.
- Select Add and wait for the account to appear as active.
Check the displayed account name and email. Adding the same account again updates its existing relationship and restores it if previously revoked.
The relationship can provide access to that Person's directory entry, Reports, profile details and summaries, and Profile Documents. It can also enable Manage Shelf when the Person has a linked client account. Individual care-record surfaces still apply their own access and consent rules.
Changing the Relationship label does not make this a different permission level. It remains a Person Guardian relationship, even if the label uses another name. It does not make the recipient an account Guardian, organization Staff member, or care-team member.
Change or revoke
To change an active relationship's label, edit its text and select Update. The account itself stays the same.
To end this access path, select the trash control labeled Revoke delegated access for [name]. Revocation applies immediately without a confirmation step. The row remains visible as revoked with its dates, and its editing controls are disabled.
Use Add with the same email to restore the relationship intentionally. Revocation does not delete the account, Person, earlier Reports, or independent contact, account Guardian, care-team, and organization permissions. Invalid contact designations on the profile are cleared when their prerequisites no longer hold.
If the action fails
Guardian account not found means the email did not resolve to an existing account. Check the address with the recipient; Add does not create one. Use Try again to reload after a request error. If access is denied, ask an administrator to review your authority for this particular Person; seeing the section is not proof that a save is authorized.
