Organization roles
Understand how organization roles affect workspace and management access.
A membership role sets baseline access to one organization workspace. Licenses and folder permissions still determine which tools and content you can use. Being an Owner or Manager Staff member does not make you a global CareMap administrator.
Compare roles and assignments
| Relationship | Access it supplies |
|---|---|
| Member | Organization workspace membership with viewing access at its Library root. It does not itself grant Staff-visible Client access or organization management. |
| Staff | Editing access at the organization root and access to assigned Clients through available workflows. Staff can review the organization and contribute to its Client Shelf rows. |
| Manager Staff | Staff with Manager enabled. Can manage Staff, Client assignments, invitations, organization identity, devices, Magic keys, and retention holds. Organization Licensing is read-only. |
| Owner | Organization root ownership and the organization management controls available to Manager Staff. Global administrative operations remain separate. |
| Client assignment | Identifies a Person supported by the organization. This is separate from membership and does not itself supply a Staff workspace or management role. |
A role does not supply missing Package capabilities. For example, Staff editing permission still needs the organization's content-authoring entitlement.
Manage Staff and Manager access
Owners, Manager Staff, and administrators use Members > Staff in the organization workspace. Add staff assigns an existing account or offers an invitation. New assignments and accepted Staff invitations set regular Staff. Use Manager, or mobile Make manager / Remove manager access, to change management authority.
A Staff invitation is not a way to preserve or upgrade existing management access: accepting it resets the membership to regular Staff. The Manager control also converts an Owner entry to Staff. Follow Organization Staff before changing existing access.
Manage membership from Admin
Global administrators can manage ordinary membership roles from the user record:
- Open Admin > Access > Users and select the user.
- Open Access > Organizations.
- Use Add membership to select an organization and Member or Staff.
- For an editable existing membership, change its Role. Reducing it to Member requires confirmation. Remove ends the membership after confirmation.
Owner is displayed but is not offered in this role selector. Use the Staff roster's Manager control when you intend to grant Manager Staff access. Using Add membership → Update role for an existing membership replaces its role and can clear Manager status. Review Admin user access before updating it.
Understand changes
Changing Staff to Member removes Staff editing and organization management, and can remove Staff-visible Client access. Removing membership ends its organization root access. A separate folder grant or another relationship may still provide access to a particular folder or Person.
An administrator can configure personal role Licenses for Staff, including Owners and Manager Staff, and for Clients. These supply capabilities without changing the role. Staff-to-Member or membership removal ends the qualifying Staff License; clearing Manager while retaining Staff does not. Client eligibility follows its separate Person assignment and account link.
If access looks wrong, confirm the selected workspace, refresh after the change, and ask an Owner, Manager Staff member, or administrator to check the role. Also review the organization's Licenses and relevant folder permissions.
