Note history and sharing

Review Note details and share a Note when your access allows it.

Each time someone saves changes to a Note, CareMap creates a new revision. The current revision is the version shown when the Note opens, while older revisions remain available in History. Sharing controls who can open the Note and whether they can create revisions.

Anyone who can view a Note can also review its revision history and open the attachments saved with those revisions. Check the history before sharing a Note if an earlier version contains information the recipient should not see.

Review or restore a revision

  1. Open Notes, then select the Note.
  2. Choose History.
  3. Select a revision to preview its title, author, saved date, optional change summary, subject date, body, and attachments. Current marks the revision everyone sees when they normally open the Note.
  4. If you can edit the active Note and want to reuse an older version, select Restore as new revision.

Restoring does not replace or delete history. It copies the selected revision's title, subject date, body, and attachments into a new current revision. The Note's About people and sharing choices do not change.

History is read only for viewers. Restoring is unavailable for an archived or read-only Note, and it can be paused when the workspace has reached its storage allowance.

Share a Note

Only a Note manager sees Share. Someone with Can edit access can save new revisions but cannot change sharing.

  1. Open the Note and choose Share.
  2. For each available contact or organization, choose Can view, Can edit, or No access.
  3. Choose Save sharing.

People listed under Permanent About access always retain view access and cannot be removed in the sharing dialog. Organization Notes also keep the workspace access described in that dialog. Choosing No access removes the direct grant, but it does not remove access the recipient has through an About, guardian, or organization relationship.

Sharing choices are separate from Note revisions. Changing access does not add a revision, and restoring an older revision does not roll sharing back.

If something is missing or does not update

  • If Share is absent, you can view or edit the Note but do not manage its access. Ask a Note manager to update sharing.
  • If a person or organization is not offered, confirm that it is an eligible contact or linked organization for this workspace. CareMap shows a message when no share targets are available.
  • If a revision cannot be loaded, choose Retry loading revision. If another editor changed the Note before a restore completed, close and reopen the Note to load the latest revision, then try again.
  • If a Note is missing, return to Notes, check the active workspace, show Current or Archive as appropriate, and reset any search or access filters. The Note also disappears when your access is removed.
