Notes and Schedule
Archive, restore, or delete a Note
Keep Notes in Archive, restore them to Current, and understand permanent deletion restrictions.
Archiving keeps the Note and its history while moving it out of Current. Permanent deletion removes the Note and its revision history.
Archive or restore
- Open the Note and scroll to its lower action area.
- Select Archive when you have management access.
- Return to Notes and choose Notes view and filters > Archive to find it.
- Open the archived Note and select Restore to return it to Current.
Archive does not remove About relationships, sharing, history, or saved attachments. Authorized readers can still open the archived Note and its history. Archived Notes are excluded from Agent search and cannot be edited or have historical content restored as a new revision until restored.
Archive and Restore change the Note's state rather than adding content revisions. They are different from Restore as new revision in History.
Delete permanently
Only the personal owner, an effective Guardian with the required authority, or an owning-organization Manager can permanently delete an eligible Note. A Staff creator's management access alone is insufficient.
A Note with any About people cannot be permanently deleted. Archive it instead. The saved About relationship cannot be removed to make deletion available.
For an eligible Note:
- Open the Note and select Delete permanently.
- Check the Note title in the confirmation.
- Select Delete permanently again, or Cancel to keep it.
- Wait for completion. If deletion fails, read the error in the confirmation before retrying.
There is no required archive-first step and no Note trash or undo control. Deleting affects everyone who accesses that Note.
Storage and unavailable actions
Archiving preserves content and history, so it is not a way to reclaim that Note's stored content. Removing an attachment from a new revision also leaves its historical copies available.
The owning workspace's Notes and authoring License grants still apply. At the storage allowance, the interface can pause restoration while leaving Archive and permitted deletion available. See storage allowances.
If a state change fails, keep the Note open, read the message, and check its current state before retrying. If it disappears from Current after archiving, look in Archive and clear restrictive filters.
