Notes and Schedule

Share a Note and revoke a grant

Set view or edit access, choose a relationship, and revoke retained Contact grants.

Sharing gives eligible contacts or organization teams access to a Note, including its earlier revisions and their attachments.

Set sharing

  1. Open the Note and review History before sharing sensitive older content.
  2. Select Share. This requires Note management access.
  3. Review Permanent About access and the organization access explanation.
  4. For an available target, choose Can view, Can edit, or No access.
  5. Check the relationship label when the same target appears more than once.
  6. Select Save sharing and wait for the update.

Can edit permits content revisions; it does not make the recipient a Note manager. Sharing changes do not create a content revision, and restoring old content does not roll sharing back.

Choose the relationship

LabelTarget
ContactAn active contact of the person managing sharing.
Organization staff memberAn individual Staff member of the Note's organization.
Everyone on this organization teamThe owning organization's team.
Linked organizationAnother eligible organization team linked to the person managing sharing.

Organization shares apply to that team's owners, Managers, and Staff, not automatically to all Clients.

Each person or organization has one explicit grant. Choosing a different relationship replaces that target's previous grant; the choices are not independent permissions you can stack.

Choosing No access removes the explicit grant. It does not override About, Guardian, contact-wide Notes Access, or owning-organization authority. See who can manage Notes.

Handle disconnected contacts

Removing a contact suspends access through its saved Contact grant. Reconnecting can restore that access unless the grant was revoked.

In Share, review Retained contact grants. To prevent that grant returning, select Revoke grant, then Save sharing. Closing without saving does not apply the revocation. An unavailable retained grant can be kept unchanged or revoked; it cannot be newly created or strengthened while unavailable.

Staff-based access requires the relevant current organization membership. Review organization shares explicitly when relationships change; do not rely on removing an unrelated contact connection to revoke a team grant.

If sharing fails

Missing Share means you do not currently have management capability. Storage or License restrictions can also prevent changes.

If a target is absent or becomes unavailable before saving, reopen sharing and review current choices. The available list is based on the acting manager's relationships, so two managers can see different options. Check retained grants after another manager changes sharing.
