Notes and Schedule

Who can read and manage Notes

Understand owners, Managers, creators, contacts, About people, Guardians, and the owning workspace's License requirements.

A Note's owning workspace, About relationships, contact permissions, and individual shares determine your access. If several apply, you receive the strongest available permission.

Check your access

  1. Open the Note and check its personal or organization workspace label.
  2. Review the About people and any Shared editor or read-only badge.
  3. Look for Edit, Share, and the archive controls.
  4. If an expected action is missing, ask a Note manager to review the relationships below and the owning workspace's License grants.
RelationshipAccess it provides
Personal workspace ownerRead, edit, and manage.
Effective Guardian of that ownerRead, edit, and manage while Guardian authority is active.
Organization owner or ManagerRead, edit, and manage organization Notes.
Organization Note creator who remains StaffRead, edit, and manage their created Note.
Other organization StaffRead organization Notes; editing needs another permission.
Individual or organization shareCan view or Can edit, as granted.
Person whose account is identified by AboutRead, including history.
Effective Guardian of an About personRead through that person's About relationship.

A Client role alone does not grant access to every organization Note. An About relationship or another eligible permission can provide access to a particular Note.

Understand contact permissions

A contact's Notes Access > View only covers Notes in the granting account's personal workspace and Notes About that account. Write also permits creation and editing in that personal workspace.

Write does not grant sharing management, archive, archive restoration, or permanent deletion. Notes owned elsewhere that are merely About the account remain view only through this permission. A separate Can edit share can add editing rights. See consent and access.

An editor can also restore historical content as a new revision on an active Note. That differs from restoring an archived Note, which requires management access.

Permissions and License grants work together

Creating, editing, sharing, archive/restoration, and deletion require the owning workspace's applicable Notes and content-authoring License grants. A share does not move ownership or supply those grants. Storage restrictions can also pause authoring, sharing, and restoration.

Managing a Note is not sufficient for permanent deletion. An organization creator without Manager authority cannot delete it, and no Note with About people can be permanently deleted. See archive and deletion.

Removing one share does not remove access supplied by another relationship. Use sharing controls to review the specific grant rather than assuming No access overrides everything.
