Course releases and updates
Understand how published Course changes become available to learners.
Course releases are immutable Catalog versions. When a publisher updates a Course, the existing release stays available as its own version and the updated Library content becomes a new Catalog version after it is published.
Learners do not move to a new Course version automatically. Learn keeps the exact version a learner added until they choose another available version or start recertification.
Publish an updated Course version
You need Publisher permission for the Catalog submission. Organization publishers also need the right organization access.
- Update the Course in Library and confirm the builder shows Ready to publish.
- Start Publish Library content.
- Choose Update existing submission.
- Select the existing Course submission.
- In Updated content, choose the owned Library Course that should become the next version.
- Add an optional version label or changelog, then choose Publish v#.
CareMap assigns the next version number automatically. The Catalog listing details, cover, screenshots, category, and audience stay with the submission; use Edit details when the Catalog page itself needs to change.
Private Course versions become current immediately. Public Course versions stay Pending until they are approved. While a public update is pending, the last approved version remains available.
How learners receive updates
When a newer approved current version is available, Catalog can show Update for a Course already in Learn. In Learn, the Course can show New version available and a Selected version picker.
To move an active Course to another version:
- Open the Course in Learn.
- Choose the desired Selected version. Use Select Latest if it appears and you want the current approved version.
- Choose Change Version.
- Review the confirmation and choose Replace version only when you are ready to start the selected version over.
Replacing a Learn version permanently deletes current progress and assessment attempts for that active Course. Previously issued certificates remain unchanged.
Completed Courses remain in Learn with their certificate history. To take a completed Course again, choose a recertification version if needed, then select Recertify.
Understand older versions
Learners and Catalog users can choose only approved versions that are still available. Pending, rejected, and discontinued versions cannot be selected for Learn.
Publishers can discontinue older approved versions from the submission's Versions list, but the current version cannot be discontinued. Course copies that were added to Library are independent copies; publishing a new version does not update those copies.
Fix common problems
- No update appears: Check that the new Course version is approved, current, not discontinued, and that the Catalog listing is active.
- Publishing is blocked: Open the Course builder and resolve any Publishing readiness items before creating the release.
- The wrong Course was published: Publish another version from the correct Library Course. Existing versions remain immutable.
- Learners are worried about progress: Replacing the Learn version starts the active Course over. Have learners finish first, keep the old version, or use Recertify after completion when that is the right workflow.
