Who can see a Report

Understand Report permissions, workspace scope, Form folder review, consent, and missing-result recovery.

Report visibility depends on your current permissions and the active workspace. Seeing a profile, belonging to an organization, or opening a Guide does not by itself reveal every Report associated with it.

Understand review access

Depending on the record, you can review a Report because:

  • you recorded it or are the account it is About;
  • an active contact allows View my Reports;
  • effective Guardian, care-team, or assigned organization access covers its subject; or
  • for a Form submission, you currently own or can edit its containing folder.

Administrators also have administrative review access. Organization Staff access remains tied to eligible subjects and assignments; Staff membership does not grant every person's Reports.

Form folder view-only access allows using eligible content but does not reveal another person's submissions. Folder owner/editor review applies to direct Form Reports and combined Guide + Form Reports. A standalone Guide's content access alone does not grant Report review.

These grants can overlap. Losing one relationship does not necessarily remove access if another valid grant remains. Viewing a Report also does not give permission to void it.

Find the correct workspace

Organization Reports appear under their recorded organization workspace when that workspace is available to you. Personal can include accessible work about other people; it is not limited to Reports about yourself.

If an organization workspace is no longer selectable but another permission still lets you read its Reports, those results can appear in Personal. Changing workspace changes the list's scope; it does not create access.

Check a missing Report

  1. Confirm which account is signed in and which workspace is selected.
  2. Open Reports, select Reports, and reset search, filters, and date ranges.
  3. Check whether the Guide result or Form submission was actually saved.
  4. Verify the expected About subject and Recorded by account.
  5. Ask the person responsible for the relevant contact, Guardian, care-team, organization assignment, or Form folder permission to review that access.
  6. Retry after access is restored.

Archiving a Form does not erase its existing Reports. Historical Form review still checks current permissions. A saved view or copied Report link cannot bypass those checks.

Ordinary Report detail and export follow Report access. A missing, expired, or revoked profile consent alone does not hide an otherwise accessible ordinary Report. This does not remove consent requirements from other care workflows.

If the Report displays a specific access restriction, follow that notice. An unavailable media file can also reflect processing or file availability; it is not proof that consent is missing. Check answer evidence and Form submission review.

Exported copies do not acquire the live Report's access controls. Follow your organization's handling rules when downloading or distributing care information.
