Edit a completed Smart PDF and review replacements

Create a new draft from completed answers and handle another document becoming current.

Edit answers starts a new draft from the current completed Smart PDF. The existing document remains current while you work. You need Profile Documents write access; view-only users can read the completed answers and PDF.

Start an edit draft

  1. Open the person's Documents tab.
  2. Find the completed Smart PDF under Profile Documents.
  3. Select Edit answers.
  4. Change the answers and select Save draft.
  5. Preview, review, and Complete document when ready.

The edit draft copies the completed document's answers, signatures, source information, and accepted PDF wording. It keeps that document's original PDF layout, even if the Library author has since changed or removed the Smart PDF. It does not automatically upgrade to the newest Library layout.

To start from the currently available Library layout, use New document from Smart PDF instead. A fresh draft and an edit draft are separate unfinished documents; use their saved-draft identities to resume the intended one.

When a newer document is active

Another completed draft or an uploaded replacement can make your starting version outdated. A saved draft may show Newer document available. Completion stops rather than silently replacing a document you have not reviewed.

  1. Save pending edits and attach or clear any drawing.
  2. Select Review replacement.
  3. Inspect the current document in Review current document.
  4. Select Cancel to leave it current, or Replace reviewed document to confirm that your draft may replace that version.
  5. Check your draft's answers, preview if needed, then select Complete document.

Replace reviewed document records your replacement decision; it does not itself complete the draft or merge answers from the current document. Incorporate any needed information into your draft before completing. If the current document changes again, another review is required.

Current documents and history

Successful completion replaces the current revision for that document item and retains the older PDF and saved answers in History. Creating, saving, or previewing an edit draft does not change which revision is current.

A new Library Smart PDF has its own document type. Its filename does not map it to an ISP, SF Assessment, SF Plan of Care, or Service Plan upload preset. Renaming the Library PDF can change future draft titles without renaming the existing profile document type label.

Edit answers appears only when the current revision has saved structured Smart PDF answers. An ordinary uploaded replacement does not gain editable answers from the older revision. Earlier completed Smart PDF answers remain readable through History. For stale edits to the same draft, use draft recovery.
