Replace Profile Documents and review history
Replace a current profile file, review earlier revisions, and understand comparison and deletion behavior.
Each preset Profile Document has one current file per person. Replacing an ISP, SF Assessment, SF Plan of Care, or Service Plan keeps the earlier revision in that item's history. Each Other item also has its own replacement history.
Replace the current file
- Open the person's Documents tab.
- Find the item under Profile Documents and select Replace.
- Choose the new file, then select Confirm replacement.
- After upload succeeds, check the current filename and updated information.
The replacement stays in the same type or Other item. Add file with a preset already in use also asks for replacement confirmation. A failed attempt leaves the existing current revision unchanged. An administrator deactivating a preset hides it from new-file choices but does not prevent replacing an existing item.
Read version history
- Select History on the item.
- Find the revision by number, filename, upload date, uploader, type, or size.
- Select View to open that revision and download it if needed.
- Review any Changes for this version, including Added, Changed, Removed, and Limitations.
The first revision has no earlier file to compare. Later comparisons may show Comparison pending, Comparing, Compared, Comparison skipped, or Comparison unavailable. A skipped or failed comparison does not undo the upload or prevent viewing the original file. Change summaries are assistive; check the original documents before relying on a reported difference.
History has no restore-as-current action. To make an earlier file current again, download it and upload it through Replace, creating another revision.
Control automatic comparisons
The profile owner can open Settings > Account > Usage and change Automatic Profile Document comparisons. When enabled, automatic comparisons can run for replacements when the owner's personal workspace has more than 100 AI credits. A balance of exactly 100 does not meet that threshold.
Comparisons use the owner's AI credits, even when someone else uploads the replacement. File storage also belongs to the owner's personal workspace. Comparison availability and Agent search processing are separate; one can be unavailable while the other succeeds.
Permanently delete an item
With write access, select Delete, read the warning, and select Permanently delete. This removes the entire item: its current file, every previous revision, and generated search and comparison information. It cannot be undone, does not leave an archived item, and does not promote an older revision.
If CareMap reports an upload or comparison still finishing, let it finish and retry deletion. For missing files or actions, check Profile Document troubleshooting.
