Archive and restore Library content

Archive Guides, Forms, or Courses while retaining history, then restore eligible items.

Archive makes a Guide, Form, or Course inactive while keeping it available for restoration. Use it when you want to stop ordinary use without deleting the item's retained history.

Archive an item

  1. Open the correct Library source and folder.
  2. Open the item's actions menu and select Archive.
  3. Read the retention message.
  4. Confirm Archive.

The item remains in Library with its archived state and reduced actions. Archived items disappear from active Favorites. You need the appropriate folder access and operation permission; viewing access alone is insufficient.

What remains

  • Guide: linked schedules, captured answers, Reports, and historical aggregate evidence are retained. Linked schedules cannot launch the archived Guide until it is restored.
  • Form: existing submissions and Reports remain available.
  • Course or Reference: published releases and earned certificates are unaffected by archiving the authoring item.

Archiving is not a way to erase retained records or guarantee storage recovery. It also does not guarantee removal of every offline copy already held by a device; see offline package management.

Restore an item

  1. Locate the archived item in Library. Check the source, folder, search, and type filters if it is hard to find.
  2. Open its actions menu and select Restore.
  3. For a Guide or Form, review and confirm the restore dialog. A Course starts restoring directly from its menu.
  4. Wait for the operation to finish and check that the item is active again.

Restoration uses the existing item rather than making a duplicate. It normally remains in the same folder. If a containing folder tree was deleted, retained Forms and Courses were archived into the surviving parent instead.

Existing Guide or Form schedules can use the restored item again when access allows it. A previously saved favorite can reappear. Restoring does not grant new folder access.

If Restore is missing or fails

Check that the item is archived and that you can edit in its current folder. Restoration also checks workspace authoring and storage allowances; permission to archive an item does not guarantee permission to restore it later.

Read any dialog or notification error, resolve the access or allowance problem, and refresh before retrying. Restore cannot recover a Guide, file, template, or folder that was actually deleted.
