Storage and AI allowances

Each personal or organization workspace has its own storage allowance and AI credit balance. Your active workspace determines which allowance CareMap shows in Settings. Switching workspaces does not move or combine their storage or credits.

Check the active workspace

1. Select the personal or organization workspace you want to review.
2. Open Settings, then select Account.
3. Review AI credits and Storage for a personal workspace, or Organization AI credits and Organization storage for an organization workspace.

Your personal usage is visible to you. Organization usage is visible only to authorized organization Staff. Other members see Usage details unavailable instead of receiving personal usage as a substitute.

Understand storage allowance

The storage card shows retained workspace data. When capacity is ready, it shows Capacity, Remaining, and a breakdown of Authored content, Original assets, Generated data, and Activity. Uploads in progress appears while uploads reserve space. Storage capacity is the sum supplied by the workspace's active Licenses.

CareMap warns you when little storage remains. At the allowance, creating, editing, copying, importing, and adding uploads may be paused or rejected. Existing Library content can still be viewed, downloaded, exported, or deleted when your access allows it.

Delete unneeded Library files or content in that workspace to free space. A large upload can also be rejected when it is bigger than the remaining capacity, even before the workspace is completely full.

Understand AI credits

AI credits available is the total CareMap AI and knowledge-processing capacity currently available to the workspace. The card separates:

• Granted credits supplied for the current cycle;
• Permanent credits, which do not expire;
• Used credits already spent; and
• Reserved credits held for work that has not settled yet.

The displayed reset date applies to cycle credits. Some AI surfaces also show the remaining balance where you use them. If an operation needs more credits than its funding workspace has available, CareMap does not complete that AI operation and explains that more credits are needed.

If usage is unavailable or low

• Calculating or Storage usage updating means CareMap is still totaling retained data. Wait for the card to update.
• If storage or AI credit details are temporarily unavailable, select Try again.
• If organization usage is hidden, ask an authorized organization Staff member to review it.
• When storage is full, delete unused workspace content and wait for usage to update before retrying the blocked action.
• When AI credits are low, check the cycle reset date. If more capacity is needed sooner, review your personal Licenses in Settings or ask an organization owner or manager to review its active Licenses.
