Create a Catalog submission
Prepare supported content and submit it for Catalog publication.
Create a Catalog submission when you want to publish an immutable copy of content you own. A submission has its own Catalog page, images, audience, and version history.
Before you publish
You need Publisher permission. To publish for an organization, you also need Manager access and must choose content owned by that organization. Personal submissions use content you own in your personal Library.
Available sources can include folders, Guides, Forms, templates, files, Courses, and References. Only active content that is available to the selected publisher appears. Review the content first: publishing captures a snapshot, so later Library edits do not silently change an existing Catalog version.
Create the submission from Catalog
- Open Catalog, choose Publishing, then choose Create Catalog submission in the top bar.
- Under Content source, choose the Publisher and the owned Library content to publish.
- Enter a Title and optional Description. Upload the required Cover image and any optional screenshots. Catalog images are separate from the content snapshot and appear on the submission page.
- Choose a Category and any useful tags under Discoverability.
- Choose Public (requires review) or Private (publishes immediately).
- Optionally add a label and changelog for the first version.
- Choose Submit for review or Publish privately.
When a Guide contains authored cloud speech, wait for Speech ready before publishing so the snapshot contains every prepared Speakable. If CareMap offers Force-publish without pending generated speech, select it only when the immutable version may use the learner or device fallback for omitted speech.
You can also start from supported content in Library by opening its actions and choosing Publish to Catalog. Choose New submission, then Continue. If the item already belongs to a submission, Update existing submission creates its next version instead of another Catalog page.
What happens next
A public submission is marked Pending or In review and is not available to other Catalog users until an administrator approves it. If it is rejected, open it from Catalog > Publishing to read the reason, correct the work, and choose Resubmit for review.
A private submission is published immediately. At first, only the publisher can access it. Open the submission from Publishing and manage its audience when you are ready to share it with Contacts or Organizations.
The first release remains an immutable snapshot. Edit the Catalog details when the title, description, category, tags, cover, or screenshots need to change. Publish a new version when the underlying content changes.
If publishing is unavailable
- If Publishing or Publish to Catalog is missing, ask an administrator to grant Publisher permission. For an organization, also confirm that you have Manager access.
- If content is missing, check that it is active and owned by the selected publisher. Shared or read-only content cannot be published as your own.
- If the final action is unavailable, choose a publisher and source, enter a title, upload a cover image, and select a category. Wait for any image upload to finish before trying again.
