Public and private Catalog access

Understand why some Catalog publications are public while others have limited audiences.

Catalog visibility controls who can find a submission and add an available version. It does not share the publisher's source content or give audience members publishing controls.

Compare public and private submissions

  • Public submissions require review. After approval, signed-in CareMap users can find them in Catalog and add an available version. A pending or rejected public submission is not available to everyone.
  • Private submissions publish immediately. At first, only the publisher can access them. The publisher can add Contacts or Organizations to the Private audience so those targets can find and add the submission.

When an Organization is added to a private audience, its Staff and Owners receive access, including non-manager Staff. Ordinary organization members are excluded.

Choose visibility when publishing

  1. Open Catalog > Publishing and choose Create Catalog submission.
  2. Complete the submission details and choose Public (requires review) or Private (publishes immediately) under Visibility.
  3. For a public submission, choose Submit for review. For a private submission, choose Publish privately.

Publishing is available only when you have Publisher permission. Publishing for an Organization also requires Manager access.

Manage a private audience

Only the publisher can add or remove private audience targets.

  1. Open Catalog > Publishing, then open the private submission.
  2. Choose Private audience.
  3. Choose Add audience target.
  4. Search the available Contacts and Organizations, then choose Add beside a target. Already-added targets are marked Added.
  5. To withdraw access, return to Private audience and choose Remove beside the target.

Use Search Catalog on the audience screen to filter the current audience. A removed target can no longer find or add the private submission. Removing access does not delete independent copies that were already added to Library.

Make a private submission public

Open your private submission from Publishing and choose Make public. CareMap sends it for public review. It becomes available to all Catalog users only after approval; public submissions do not use the Private audience controls.

Visibility does not override other availability rules. A submission or version may still be unavailable when it is pending review, rejected, discontinued, or otherwise inactive.

If access is missing

  • Clear the Catalog search and confirm that the submission is active.
  • For private content, ask the publisher to check the exact Contact or Organization under Private audience. Organization access also depends on current Staff or Owner membership.
  • If a target is missing from Add to private audience, confirm that it already appears in the publisher's Contacts or Organizations.
  • If Private audience is missing, open a private submission that you publish from Catalog > Publishing.
  • For public content, check whether its badge says In review, Pending, Rejected, or Discontinued.
