Manage users
Find user accounts and manage their profile, authentication, licensing, and access.
Administrators use Users to find accounts, help with sign-in, manage Licenses, and review or change access. Open Admin, choose Access, then choose Users.
Find or create a user
The user list shows each account's email, name, role, access tags, and organization count.
- Use the Admin search field to find a user by name, email, or account ID.
- Use the tag filter to narrow the list by access tag.
- Select a column heading to change the sort order.
- Select Load more when additional results are available.
To create an account, select Create user, enter the user's Name and Email, then select Create user again. CareMap creates the account, sends a first-time setup link, and opens the user detail screen.
Review and manage an account
Select a user row, then use the detail tabs:
- Profile — review the account ID, name, email, creation date, verification state, and role. You can also assign access tags.
- Sign-in — review activation and sign-in methods. For a pending account, use Resend setup to replace the previous first-time setup link. You can force activation when offered, add an email/password method, or remove a method when another active method remains.
- License — review active Package grants and past Licenses. Use Add Package to issue a Package, Correct terms to change its amount, cadence, or expiration, and Revoke to stop its grants immediately. You can also reissue an eligible past License and grant permanent AI credits.
- Access — review global admin state, organization memberships, organization-visible clients, delegated People, care-team subjects, and content-folder grants.
In Access, administrators can grant or revoke global admin access, add or remove organization memberships, change a Member or Staff role, and assign Staff-visible clients. Delegated People and care-team access are managed in People; content-folder grants are managed from Library folders.
Use high-impact controls carefully
CareMap asks for confirmation before admin-role, membership, and client-access changes. Self-demotion and removal of the last global administrator are not allowed. Base Package Licenses are controlled by the global Base Package setting rather than from the user's License tab.
For a Standard account, Pass through lets an administrator temporarily enter that account to provide setup help. Exit passthrough to close that session and return to the administrator account.
If a user or action is unavailable
Clear the search and tag filters, then load more results if available. Retry after any displayed error. If a control is disabled, check its prerequisite—for example, a License Package may already be active, an authentication method may be the account's only active method, or a client assignment may require Staff membership in an organization.
