Manage Tags
Create ordinary Tags and review system Tags used to organize users and organizations.
Tags are administrator labels for grouping users and organizations. They can help narrow the Admin lists and support future bulk actions. Some system Tags can also control automated CareMap behavior.
Open Admin > Access > Tags. The tables show each Tag's name, assignment counts for users and organizations, and last update. Only CareMap administrators can open this section or change Tag assignments.
Create or edit an ordinary Tag
- Select Create tag.
- Enter a short, recognizable Name.
- Choose a Color and check the preview.
- Select Create tag.
Ordinary Tag names must be unique even when capitalization differs. To change an ordinary Tag later, select Edit, update its name or color, and select Save changes. The update is reflected anywhere that Tag is already assigned.
Understand system Tags
System tags are CareMap-managed definitions. Administrators can review their assignment counts and assign or remove them, but cannot rename, recolor, or delete the definitions.
Change a system Tag assignment only when you understand what manages it. System Tags can control automated behavior, so removing or adding one may do more than change a visible label.
Assign Tags to a user or organization
- Open Admin > Access > Users or Organizations.
- Select the user or organization you want to update.
- Find the Tags card and select Manage tags.
- Select or clear the ordinary and system Tags as needed.
- Select Save tags.
The assignment is saved as one update. If saving fails, the dialog remains open and shows the error; review your selection and retry once.
Filter users or organizations
On the Users or Organizations list, open the Tags filter and select one or more Tags. Choose Match any to include entries with at least one selected Tag, or Match all to require every selected Tag. Select Clear to remove the filter.
Delete an ordinary Tag
Select Delete beside an ordinary Tag. CareMap first shows how many users and organizations will lose the assignment. Confirm with Delete tag only after reviewing that impact.
Deleting a Tag removes the Tag and its assignments; it does not delete the affected users or organizations. If you only need to change how a Tag looks or is named, edit it instead.
If a Tag action fails
- Use a different name if CareMap reports that the name is already in use.
- Refresh CareMap if the Tags catalog cannot load, then retry once.
- If deletion impact cannot be loaded, close the dialog and do not delete until the impact is available.
- If a system Tag has unexpected effects, restore its previous assignment and contact an authorized support channel with the Tag name and affected user or organization.
