Review shorter Smart PDF wording

Fit reviewed text into a PDF box while retaining the full saved answer.

Smart PDF text answers can have a separate, reviewed version for the PDF box. Use this when the full answer is too long for the layout. The full answer stays saved in CareMap; accepting PDF wording does not replace it.

You need an unfinished draft, profile document write access, and a nonempty text answer that has been saved and reviewed. Signature and checkbox fields do not offer this text-wording workflow.

Open the wording editor

  1. Save your answer changes and review any suggestion for the field.
  2. Attach or clear pending signature drawing.
  3. Select PDF wording… beside the text field.
  4. Read Full answer before editing Shorter PDF wording.

You can also open it through Review wording for [field label] in PDF layout review after previewing. Wording controls are unavailable while there are unsaved answers, pending drawing, or document processing.

Accept or cancel

Enter a concise version that preserves the intended meaning. It must be nonempty and no longer than the full answer. Review names, dates, qualifications, and any conditions before selecting Accept PDF wording.

The dialog also offers AI shortening for a saved answer. A generated proposal still needs your review and acceptance. You can write the shorter wording yourself without requesting AI.

Cancel closes without saving the dialog's wording changes. Accepting saves the separate wording to the draft and invalidates the previous PDF preview. Use Preview PDF again to see the result.

Understand what the PDF contains

If the accepted wording fits, that text is used in the PDF box. The full answer remains available in CareMap's Answers view; it is not automatically appended to the PDF merely because shorter wording exists.

If the wording still cannot fit at a readable supported size, a continuation page contains the full answer and the original box refers to that page. Inspect PDF layout review, particularly when one answer has several placements.

Restore or change the answer

Open the wording dialog and select Use full answer to remove previously accepted wording. Preview again afterward. Accepting wording identical to the full answer also leaves no separate shorter version.

Editing the full answer removes its existing PDF wording. Save and review the new full answer before preparing another shorter version. This prevents wording from an earlier answer from silently remaining attached to the replacement.

Completed documents retain both the full answer and any shorter text used in that revision. Answer changes shows recorded wording changes alongside other saved answer changes. To change a completed document, start an edit draft.
