Understand Smart PDF research sources and dates
Check which records can support research and how source dates differ from event dates.
Smart PDF research uses the source choices and date bounds captured when the draft started. The template author configures these in Prefill from > AI research. Existing drafts do not adopt later template changes.
The saved draft row lists its configured research sources. These are eligible source categories, not proof that matching evidence exists. Research searches records for the selected subject and checks the requesting person's current access. Being able to edit a document does not grant access to every supporting record.
Eligible records
| Source | What research can use |
|---|---|
| Profile properties | The subject's name; account birth date only when the subject is the requesting account's own linked profile. |
| Notes | Searchable Notes about that Person or their linked account. A personal Note without an About selection can qualify for its workspace owner's linked profile. |
| Profile documents | Searchable current revisions on the subject's profile. Historical revisions are not selected for new research. |
| Reports | Authorized active Reports about the Person or linked account, subject to Report access and consent restrictions. |
Evidence may span accessible workspaces; changing the app's selected workspace is not a source filter for this action. Source choices do not enable general web research or unrestricted Library-file search.
Research uses a bounded set of matching excerpts. It does not promise to read every eligible record or the full text of every match. Recently added content may need to become searchable before it can be found.
Source dates
Source date from and Source date through include their entire UTC calendar days. The local date displayed beside a source can differ at a timezone boundary.
The date basis is the profile property update, Note update, Profile Document revision becoming current, or Report submission date, with Report update used when submission is unavailable. An event date written inside a Note is separate. For example, a Note updated this month about last year's event can fall within this month's source window; that does not make the event recent.
Blank bounds leave that side unrestricted. A date-constrained source needs a usable timestamp. Source-window eligibility does not establish that its contents are current enough to answer the question.
Report and number limits
Report evidence contains permitted answer summaries, not the complete Report, private media links, or every captured response. Guide and Form answer labels can retain older names. A Form answer copied from a Guide answer is not a second independent observation.
Numeric assistance supports limited, unambiguous scalar observations from the same Guide or Form. It does not establish that every relevant Report was found or that different metrics are comparable. Check dates, source coverage, units, and arithmetic before reviewing an AI answer.
