Fill Smart PDF answers from a profile
Suggest the subject’s name or permitted birth date, review it, and deliberately replace an existing answer.
Fill from profile uses the person whose Smart PDF draft is open. The template author decides which text fields can receive the profile name or birth date. This direct fill does not use AI research.
Fill and review
- Open a saved Smart PDF draft.
- Check Subject at the top of the editor.
- Attach or clear any pending signature drawing.
- Select Fill from profile. Pending answer edits are saved first.
- Read the suggested values and the status showing how many fields were filled.
- For each correct suggestion, select Review [field label].
Suggestions show their profile origin, source update time when available, and Needs review or Reviewed. Reviewing preserves that source information. Editing the value yourself makes it a manual answer and removes the previous source evidence. Review controls save pending edits before applying the review.
Filled suggestions are saved to the draft, but they do not complete the document. Every nonempty suggestion must be reviewed before Complete document can succeed, including suggestions in optional fields.
Existing answers stay in place
Fill from profile fills fields that have no saved answer. It preserves existing answers, including a value you deliberately cleared. Running it again does not silently refresh an earlier suggestion when the profile changes.
To replace one configured field explicitly:
- Select Use current profile value for [field label].
- Read Replace this answer from profile?.
- Select Replace from profile, or Keep answer to cancel.
- Review the replacement value before completing.
Only that field is targeted. Other answers stay unchanged. If no authorized profile value is available, the existing answer remains.
Why a value may be unavailable
The name comes from the subject's profile. Birth date currently comes from account settings and is available through this action only when you are filling your own linked profile. Profile document permission does not grant a Staff member, Guardian, or contact access to someone else's account birth-date setting.
A missing birth date, an unlinked Person, or another unavailable source leaves the field for manual entry. The editor lists unavailable fields after filling. Do not substitute the signed-in supporter's personal details for the subject.
If Fill from profile is absent, the saved layout has no direct profile-mapped fields. Ask the author to check the prefill configuration for future drafts. Existing drafts keep their original configuration.
