Upload files
Add supported files to Library and follow their upload progress.
Use Library uploads to store files in the selected workspace and folder. Files can be downloaded later by people with access, and some files can also be processed for AI search after the upload finishes.
Before you upload
Check these before selecting files:
- You are in the correct Library source, such as your personal workspace, an organization workspace, or a shared Library.
- You are in the folder where the files should live.
- You have Owner or Read-write access to that folder.
- The workspace is writable and has enough storage allowance remaining.
If the workspace is read-only, the folder is view-only, or storage is full, CareMap hides or blocks upload actions. Existing files may still be available to view or download.
Upload from the file picker
- Open Library.
- Choose the workspace and folder where the files should be added.
- Open the Library create menu and choose Upload Files.
- Select one or more files from your device.
- Keep CareMap open while Preparing upload or Uploading is visible.
On mobile or desktop, the device may show its own file picker or permission prompt. Choose the files you want to share with CareMap for this upload only.
Upload by dropping files
Where drag-and-drop is available, you can drop files into the current folder or onto a writable folder shown in Library. CareMap only accepts external files; dragging Library items around the screen does not start a new file upload.
When a folder can accept dropped files, CareMap treats the drop the same as choosing files with Upload Files. If the folder is view-only or uploading is not allowed, the drop target will not accept the files.
Follow upload progress
Library shows progress for individual files and for batches:
- Preparing upload means CareMap is creating the upload attempt.
- Uploading means the file is transferring from your device.
- Uploading through server means CareMap is using a fallback upload path.
- Upload complete means the transfer finished.
For multiple files, Library also shows a batch summary with active, queued, completed, and failed counts. Large selections may be queued so CareMap can upload several files without trying to send every file at once.
After upload completes
When the transfer finishes, the file appears in Library. If the file is eligible for AI search preparation, CareMap may then show processing states such as Waiting for a processor or Ready for AI search. Processing is a separate step from the upload, so a file can finish uploading before it is ready for AI search.
If AI search preparation fails, the original Library file may still be downloadable. Open the file actions menu and review the processing message before uploading another copy.
If an upload cannot start or finish
Try these checks:
- Confirm that the selected files fit within the remaining workspace storage.
- Remove files you do not need from a large batch and try again.
- Use a stable connection and leave CareMap open until the upload settles.
- Retry only failed files instead of re-uploading files that already completed.
- If a file uploads but cannot be processed, try a smaller, unprotected, or more standard copy such as a PDF when that fits the file's purpose.
Do not send private care information, files, temporary upload links, or error details through an unapproved support channel.
