Add and organize Smart PDF fields
Configure text, checkbox, and signature inputs and their order when filling a document.
Open the Library PDF's Edit Smart PDF action. The Fields list controls the order people see when filling a document; the PDF placements control where their answers appear on the output.
Add a field
- Choose Add text, Add checkbox, or Add signature.
- Enter a meaningful Field label and optional Help text.
- Set its type-specific options.
- Choose OK to apply properties to the working copy.
- Select Save changes in the designer to retain them.
You can also choose a type under Draw and drag a rectangle on the PDF. On smaller screens, switch between Fields and PDF page.
| Type | Authoring choices |
|---|---|
| Text | Single-line or Multiline, manual entry, profile suggestion, or AI research. |
| Checkbox | Yes/checked, No/unchecked, or unanswered; optional AI research. |
| Signature | A person explicitly types or draws it. No automatic prefill. |
Required means an answer is needed to complete a document. A required checkbox can still be answered No. Enable Required together with Must be checked when completion must require Yes.
Changing Field type resets type-specific options and prefill settings. Recheck those choices after switching types.
Organize the filling experience
Drag a field's handle to reorder it, or open the field and use Move up / Move down. Reordering does not move its boxes on the PDF.
Use Section (optional) to group consecutive fields under a heading. Adjacent fields with the same section name appear together. The same name used again after another section starts another group; it does not automatically collect distant fields. Leave it blank for no heading.
Labels allow 250 characters, sections 120, and help text 12,000. A template supports up to 2,000 fields. Use clear labels even when the PDF already has printed labels, because the filling screen uses the field labels.
Duplicate, delete, or repeat
Duplicate field creates a separate answer with a copied configuration and slightly offset boxes. Delete field removes it from the working layout.
For one answer printed in several places, use Repeat value elsewhere instead of duplicating.
Move, duplicate, and delete actions change the working copy immediately. The field dialog's Cancel does not undo those actions. Property edits normally require OK; duplicating also applies the properties being copied.
Save the designer when ready. Closing with unsaved working changes offers Keep editing or Discard changes. Discard keeps the last saved template.
