Your role describes your relationship to a personal or organization workspace. CareMap uses that relationship, along with folder permissions and workspace features, to decide which destinations and actions are available.

Find your current role

Open the workspace switcher to see the workspaces available to your account:

  • On a wide screen, select the current workspace at the top of the sidebar.
  • On a compact or mobile screen, open More, then select the current workspace at the top.

Each workspace is labeled with your relationship, such as Personal, Owner, Manager Staff, Staff, Member, or Read-only. The active workspace label is the first clue when a destination or action looks different from what you expected.

Organization role labels

CareMap can show these organization membership labels:

  • Owner: broad organization access. Owners can open owner or staff organization workspaces and manage organization areas that are available to them.
  • Staff: staff organization access. Staff can open staff organization workspaces and use staff-scoped organization tools, such as member or client review, when those tools are available.
  • Manager Staff: a staff membership with manager responsibilities. It still behaves as organization staff access, with additional management responsibilities where CareMap provides them.
  • Member: ordinary organization membership. Members may have access to shared content or assigned work, but staff and owner organization controls may be unavailable.
  • Read-only: an access state, not a full editing role. Read-only access lets you view available content while editing and management actions are hidden or blocked.

Your role can change which organization destinations appear, such as Organization, Members, or Supplier. If a destination is missing, the active workspace, your role, workspace features, or device navigation settings may not include it.

Roles are not the same as folder permissions

Organization membership gets you into a workspace or organization area. Folder permissions still control many Library actions inside that workspace.

A folder can show:

  • Owner access for folder sharing and full folder management;
  • Read/write access for editing content in that folder; or
  • Read only access for viewing without changing the folder or its content.

For example, you may be Staff in an organization but still have Read only access to a specific Library folder. In that case, organization destinations may be available, while folder actions such as rename, move, upload, duplicate, or delete remain unavailable.

Why an action or destination may be missing

Check these common causes:

  • The wrong workspace is active.
  • Your organization membership is Member instead of Staff or Owner.
  • Your workspace or folder access is Read-only.
  • The folder permission is Read only, even though your organization role is higher.
  • The destination is hidden in Settings > Appearance > Features.
  • The organization membership or workspace has been suspended or removed.

Direct links do not bypass role or membership rules. If the linked destination is unavailable in the resolved workspace, CareMap opens an available workspace destination instead.

If your role looks wrong

  1. Confirm the active workspace in the workspace switcher.
  2. Switch to the organization or personal workspace where you expected the action.
  3. Check the folder access label if the issue is limited to Library content.
  4. Refresh CareMap if an owner recently changed your membership or folder access.
  5. Ask an organization owner or the person who manages the folder to review your membership and permissions.

If you belong to more than one organization, repeat the check in the specific workspace where you need the action. Roles and permissions are scoped to the workspace or folder you are using.
