Workspaces and Access
Read-only access

Understand what you can view and which actions are unavailable when access is read-only.
Read-only access lets you open the content that has been shared with you, but it does not let you change that content or place new content there. CareMap uses read-only states for both workspace access and folder access, so the exact actions you see can change as you switch workspaces or move through the Library.
Recognize read-only access
You may see read-only access in several places:
- A workspace or Library source may be labeled read-only in the workspace switcher.
- A folder's details can show Access: Read only.
- A destination picker can disable a folder with the message Read-only folder.
- A guide edit link can show Guide is read-only when the guide's workspace or your item access does not allow editing.
Read-only is not an error by itself. It means CareMap found content you can view, while keeping editing and management actions limited to people with stronger access.
What you can usually do
With read-only access, you can usually:
- open the workspace, Library source, folder, or shared content that is visible to you;
- browse available folders and items;
- open details or view content information;
- play or use content when a Play, View, or similar action is available; and
- use download or export actions only when CareMap shows those actions for that item.
The actions are intentionally item-specific. If an action appears, use it normally. If it is hidden or disabled, your current access or the item's state does not allow it.
What read-only access blocks
Read-only access commonly prevents actions such as:
- creating folders or adding new Library content;
- uploading files into a folder;
- editing guides, templates, forms, courses, or folder presentation;
- renaming, moving, duplicating, or deleting content;
- selecting the folder as a move or duplicate destination; and
- sharing a folder or changing folder members.
CareMap may hide these actions instead of showing a disabled button. For example, a folder with read-only access can still open, but it cannot be selected as the destination for moved or duplicated content.
Read-only workspace vs. read-only folder
A workspace can be read-only, or a single folder inside a workspace can be read-only. You may also have edit access in one folder and read-only access in another.
Check the active workspace before assuming an action is missing. If the wrong workspace is active, switch to the workspace where you normally edit. If the right workspace is active but one folder still says Read only, you need folder-level Read/write or Owner access for editing actions in that folder.
If you need edit access
Try these steps:
- Confirm the workspace name at the top of CareMap is the one you intended to use.
- Open the folder details and check the access label.
- Switch to a workspace or folder where you have Read/write or Owner access, if one is available.
- Refresh CareMap if an owner recently changed your permissions.
- Ask a workspace or folder owner to update your access if the item should be editable by you.
If a direct link opens content but editing is still blocked, the link has not changed your permissions. You will need access from the owner of the workspace, folder, or shared Library source.
