User-visible limits

Limits depend on the active workspace, its Licenses, your permission, and the action you are using. Use the values and messages shown in CareMap as the current source of truth.

Check workspace capacity

1. Switch to the personal or organization workspace you want to check.
2. Open Settings and select Account.
3. Review Workspace usage.

The storage card shows used, remaining, and total capacity, with a usage breakdown. The AI credit card shows available, granted, permanent, used, and reserved credits, plus the next reset date. Organization usage details are visible only to authorized organization Staff.

Storage allowance

Storage capacity comes from active Licenses. CareMap warns when storage is low. At the allowance, creating, editing, copying, importing, and uploading Library content are paused. Existing content remains available to view.

Delete unneeded files or Library content to reduce usage. The storage card may show Calculating or Updating while CareMap recounts retained data; wait for it to finish before checking capacity again.

AI credits

AI and knowledge-processing actions use credits from their funding workspace. Cycle credits reset on the date shown in Settings; permanent credits do not expire. Reserved credits are set aside for work that has started but has not yet settled.

If an action needs more credits than are available, CareMap does not start the AI work. Wait for the reset, continue without an optional AI result where that choice is offered, or ask the person who manages the workspace's Licenses for help.

File and media limits

• Most Library files and authoring image, audio, or video uploads must be no more than 50 MB each.
• The bulk Person document uploader accepts files up to 25 MB each.
• A recorded block speech clip can be up to 5 minutes and 50 MB.
• Common media uploads accept PNG, JPEG, GIF, or WebP images; AAC, M4A, MP3, OGG, WAV, or WebM audio; and MP4, MOV, or WebM video. A particular picker may offer a smaller set of formats.

If a file is too large or unsupported, choose a smaller file or a format offered by that picker. A Library file may still be retained when its optional search processing cannot read the format.

Guide authoring limits

A Tap choice tree can contain up to 10 levels, with up to 100 choices beside each other at one level. Split a larger decision into separate Fields or Guide pages so the available answers remain understandable.

When an action is unavailable

Read the notice near an unavailable control. Check the workspace, your edit permission, and whether the content is read-only or archived. If the notice mentions an allowance, check storage, AI credits, and License state.

The same workspace limits apply on web, desktop, and mobile. Device capabilities such as a camera, microphone, or file picker can add a separate platform-specific restriction.
