Manage summary categories
Create, edit, order, retire, or reactivate personal, organization, and CareMap summary categories.
A summary category gives CareMap a topic and research instructions for a person's reviews. Categories can apply to one Person, an organization, or all profiles. A prompt cannot expand access to evidence.
Choose the right scope
| Scope | Where to manage it | Who can manage it |
|---|---|---|
| Personal | Profile > Summary > Manage categories | Someone with Profile AI write access for that Person |
| Organization | Select the organization workspace, then Settings > Account > Usage > Organization summary categories | An authorized organization manager; the selected workspace must be available |
| CareMap / global | Admin > Summary, below monitoring | A CareMap administrator |
Organization categories apply to assigned Clients and profiles whose linked accounts are organization members. Removing the qualifying relationship removes that organization's categories from the effective profile view unless another qualifying relationship remains. It does not turn them into personal copies.
On a profile, CareMap categories appear first, followed by organization categories grouped by organization name, then personal categories. Managing one scope does not edit categories from another scope.
Add or edit a category
- Open the appropriate category manager.
- Select Add category, or Edit on an existing category.
- Enter Category name and Research prompt. Names allow up to 160 characters; prompts allow up to 12,000.
- Choose Active or Retired under Status.
- Select Save and confirm the category appears with your changes.
Use a clear topic and describe what the review should look for. Keep shared prompts applicable to everyone in their scope instead of embedding one person's private history.
Save changes the definition without generating a summary. For an active personal category, Save and generate also requests a paid review. These are separate operations: a generation error can occur after the category saved successfully. Check the saved list before trying again.
New generation requests use the current name and prompt. Requests already queued keep the category version they captured, so changing a prompt does not rewrite an in-progress review or historical reports.
Reorder, retire, or restore
Use the move-up and move-down controls to save order within the chosen scope. If reordering fails, the list reloads; verify the restored order before retrying.
Select Retire to stop using a category, or Activate on a retired row to restore it. Retired categories remain in their manager, but are absent from the profile's active cards. Retirement retains past summaries; it is not permanent summary deletion. Reactivating makes the category and its retained history available again when its scope still applies.
Retirement or removal of an applicable relationship can also prevent queued work from completing. If a category disappears unexpectedly, check its status and the person's current organization relationships before adding a duplicate.
