Bulk upload care documents

Upload several care-record files, acknowledge them when appropriate, and retry individual failures.

Bulk upload adds several files to one Person's Care records > Documents. It does not replace the active versions in the separate Profile Documents tab.

Use an active Person with care-document access. Each file must be nonempty, no larger than 25 MiB, and PDF, plain text, PNG, JPEG, GIF, or WebP. The same storage and folder requirements apply as for single care-document uploads.

Prepare and run a batch

  1. Open People > Clients > the Person > Care records and select Bulk in Documents.
  2. Choose files under Files. You can add more to the selection.
  3. Review each file's generated title and edit it if needed. Remove unwanted files with the remove control beside their name.
  4. Set the shared Type, Source, and Notes for the batch.
  5. If you have reviewed the files and intend to acknowledge them, enable Acknowledge each upload and review the Signer, Relationship, and Statement fields. Blank signer and statement use the account identity and the document's default acknowledgment.
  6. Select Start upload and wait for the per-file results.

Files run one at a time. A failure does not prevent later files from being attempted. The dialog prevents closing or changing the queue during the run. Afterward, compare the uploaded, acknowledged, and failed counts and read each file's result.

Retry the right operation

Select Retry failed after correcting the cause. Successful rows are skipped. There are two different failure cases:

  • Upload failed: the file still needs uploading. Check its type, size, availability on your device, connection, storage allowance, and folder access.
  • Acknowledgment failed after upload: the document is already saved. Retrying in this batch retries its acknowledgment without uploading another copy. Check the signer/statement or the document's availability message first.

An acknowledgment failure can therefore count as both uploaded and failed. Uploaded titles are locked in the batch. A Pending, Unavailable, Redacted, or Archived document cannot be acknowledged until it is available; changing its label alone does not repair the underlying cause.

Keep the batch open while resolving failures. Closing it or choosing Reset clears the selected files and retry results; removing a row also removes that row's retry context. These actions do not delete documents already saved. Check the Documents list before starting a new batch to avoid duplicate uploads. You can acknowledge a saved available document from its own row.

Restore access, storage, or the Person's active status when the error requests it. If the service or connection failed, retry after recovery. A rejected file should be removed and replaced with a supported, readable file.
