Review file versions and AI comparisons

Open retained Library file revisions and control automatic comparisons for future versions.

A Library file keeps its identity when its content is replaced. Version history lets you open retained revisions without changing the current file.

Save new file contents

  1. Open the file's actions menu and select File details.
  2. Select Replace file contents.
  3. Choose the replacement file, then select Save new version.

You need normal Library edit permission and the owning workspace's authoring and storage allowance. The verified upload becomes the current version of the same file. Its name, document type, pins, and earlier versions remain. Name or type changes in File details are saved separately.

If a transfer or reply fails, select Finish replacement to check the saved result. After closing or reloading, open the same file's replacement controls to resume. You may need to choose the same file again. A saved replacement is reused without uploading another copy.

If someone changed the current version, review history and choose Start a new replacement to select a file against that version. Failed or expired uploads do not replace the published file. Back returns to File details.

The same controls are available from a pinned file's File details when you also have Library edit permission. Profile editing alone allows pin management and new uploads; it does not allow replacing an existing file.

Open an earlier revision

  1. Open the file's actions menu in Library and select Version history.
  2. Find the revision using its number, original filename, date, uploader, or size.
  3. Use Load older revisions if the revision is on an earlier page.
  4. Select View for that revision. Download saves that revision's original filename and content, even if a newer revision is now current.

A file opened from a revision link also offers Version history. Choosing a different revision updates the link to that revision. Your access may cover only the pinned file; it does not give access to private Library folders or other files. Access is checked again when loading history and downloading.

Completed Smart PDF revisions retain their own answers and saved changes. See Smart PDF answer history.

If loading fails temporarily, retry without closing history. Previously loaded rows remain available during a temporary history refresh failure. If access is revoked, the protected history is cleared.

Read AI comparisons

When available, Changes for this version shows the adjacent-version comparison, including Added, Changed, Removed, and Limitations. Pending comparisons refresh while history is open. A failed or skipped comparison does not prevent reading the original file.

Only the first revision has no earlier revision. A later revision may have no comparison because comparisons were not enabled or no result is available. AI summaries are assistive; check the original files before relying on a change. Opening history does not request a new paid comparison.

Control future comparisons

For a file in a personal Library, open File details and find Automatic AI comparisons. With normal Library edit permission, choose Enable automatic comparisons or Disable automatic comparisons.

This preference applies to future verified revisions. Enabling it does not compare past revisions. The owner's automatic-comparison preference and credit rules still apply, and AI usage is charged to the file owner. Ordinary uploads do not automatically opt into comparisons.

Changing this preference saves it separately from the file's display name and document type. Reload comparison preference keeps unsaved name/type edits. Profile editing access alone does not allow changing this setting.
