Find and filter Notes

Search current Notes, browse pages, filter by access and author, and recover missing results.

The Notes collection shows records you can currently access. Choose the intended workspace before searching; a personal view can include Notes shared with you or About you as well as your own Notes.

Find a Note

  1. Open Notes in the appropriate workspace.
  2. Enter search text to match the current title, body text, or saved About name.
  3. Open Notes view and filters and choose Current or Archive.
  4. Select Advanced filters to narrow Access, Author, Attachments, or Subject from/Through dates.
  5. Use First page, Previous, and Next to browse matching Notes.
  6. Open a desktop row or mobile Note to read its full content.

Search and filters apply across the eligible collection, not just the visible page. Search examines the current body beyond the short list preview; it does not search every historical revision or attachment's file contents.

Pages contain up to 50 Notes, ordered by subject date newest first, then modified time. The list does not offer a separate sorting selector. Changing search, filters, or workspace restarts paging.

Choose filters deliberately

FilterWhat it selects
Owned hereNotes owned by your personal account or the selected organization.
Organization-ownedNotes owned by the selected organization; use its workspace.
Shared with meVisible Notes outside the owned scope, excluding Notes About your account.
About meNotes whose saved About relationship identifies your account.
AuthorThe original Note creator, not necessarily the latest revision's editor.
AttachmentsWhether the current revision has saved attachments, not whether an old revision did.

Use Search authors and the author's own paging controls to find a creator. Available authors come from Notes matching the other filters. Select Any author to remove that restriction.

Subject from includes the starting day; Through includes the ending day in your device's local calendar. They filter the Note's subject time, not its creation or last-edit date.

Read the list and recover missing results

Rows show a shortened body, About relationship, original author, subject date, modified date, file count, revision, and storage size. Long About lists are abbreviated; open the Note for its full details. Badges describe organization ownership, sharing, read-only access, archive state, and Agent creation.

Reset view clears filters and returns to Current; it leaves search text in place. Clear search separately, or use Reset search and filters when offered in the empty view.

If a later page becomes empty, return to First page. For a load failure, use the displayed retry control. Previously loaded rows may remain during a temporary failure; they are not proof of a successful refresh. Lost access can remove the Note from the view.
