Organizations and Suppliers
Supplier overview
Use Supplier tools to create and support accounts managed by an eligible organization.
Supplier combines account setup, approval referrals, Package ordering, renewals, content, and support for accounts an eligible organization is authorized to manage.
Who can use Supplier
Select the organization that owns the Supplier relationship. Supplier is available when:
- your organization membership is active;
- you are the organization Owner or a manager; and
- Supplier access for that organization is active.
It does not appear in a personal workspace or for an ineligible role. A CareMap administrator controls Supplier configuration and available Packages.
Open the workspace
- Use the workspace switcher to select the eligible organization.
- Open Supplier from the organization's destinations.
- Start in Accounts, Referrals, Orders, or Renewals.
- Use Search supplier to filter the active section. Clear it when an item is missing.
Choose the right Supplier task
- Accounts lists only accounts this Supplier currently manages. Choose Account to create or select a client, choose a Package, and optionally prepare Guardian relationships. Review setup states and use Resend until setup is complete.
- Referrals contains approval referral lanes dispatched to the Supplier. Use it for SAR preparation, WAMS and DBHDS attestations, pend work, authorization upload, Case review, and client-account linking.
- Content on a managed account adds Supplier-visible Catalog content to that account's Library or Learn. It does not grant access to the original Catalog submission.
- Enter starts Supplier Passthrough for authorized setup or support. Work uses the managed account's permissions until you choose Exit passthrough.
- Orders creates and sends an invoice for a managed account and an authorized Package. A paid invoice must reach Fulfilled before the License is active.
- Renewals groups eligible Licenses that are expired or within 90 days of expiration, plus renewal invoices that are awaiting payment or need attention.
A successful new-account workflow starts setup delivery and then opens Add order with the client and Package selected. Account setup and payment are separate: creating an account does not issue a License, and paying an invoice does not activate access until fulfillment completes.
Supplier authority limits
Supplier access does not grant general CareMap administration or access to every account in the organization. Account lists, approval referrals, Catalog installation, orders, renewals, and Passthrough remain limited to the current Supplier relationship, participating Cases, and managed accounts. Changes to your role, the Supplier relationship, an account's assignment, or Package availability may remove an action or item.
If Supplier is missing or a task fails
- Confirm that you selected the correct organization and still have active Owner or manager authority.
- Ask a CareMap administrator to confirm active Supplier access and enable a Package when none is available.
- Clear the active search and choose Refresh on Accounts or Referrals when an expected account, Case, or update is missing.
- Read the visible setup, order, renewal, or installation state before retrying. For a delayed payment or fulfillment state, ask an administrator to use Reconcile when offered.
When requesting help, share the organization, managed account, Package, affected section, visible state, approximate time, and displayed message. Do not share passwords, setup links, invoice links, payment details, or private account content.
