Content type comparison

Compare Guides, Forms, Courses, files, templates, Notes, and Reports.

CareMap uses different content types for different jobs. Choose the type that matches the outcome you need: guide someone through work, collect structured answers, teach learning material, store a file, reuse a starting point, write a note, or review a submitted result.

Quick comparison

TypeUse it forWhat happens next
GuideStep-by-step work, instructions, decisions, media, signatures, or field capture.Someone runs the Guide. Completed work can create report history.
FormStructured intake, checklists, surveys, uploads, or repeated data collection.Someone fills and submits the Form. Submitted answers can appear in Reports and connected records.
CourseOrdered learning with lessons, quizzes, assessments, progress, and possible certification.Learners use it in Learn. Progress, attempts, completion, and certificates live there.
FileExisting documents, images, PDFs, scans, or media.People with access can open, download, or reuse the stored file.
TemplateA reusable starting point for Guide content.Authors create new content from the template without changing the reusable record.
NoteNarrative care context, updates, observations, and shared note history. The note remains revisioned context for people with access.
ReportSubmitted Guide or Form results.Review, share, or export the result instead of editing the original source content.

Choosing between close types

  • Choose a Guide when order, instructions, decision points, or completion steps matter.
  • Choose a Form when the main goal is collecting the same structured answers each time. A Guide can also point to a Form when one structured submission belongs inside a guided process.
  • Choose a Course when learners need progress, assessments, completion, or certificates. Choose a Reference when learning-style chapters should be browsed freely without completion tracking or certificates.
  • Choose a File when the source already exists as a document or media item. Files can support Library, Guide, Form, Course, and Catalog work without rebuilding the content in CareMap.
  • Choose a Template when authors need a reusable pattern. Use a Guide or Form directly when you are editing the real content people will run or submit.
  • Choose a Note for plain-language care context that does not need Form structure or Guide flow.
  • Choose a Report when you need the result of completed work. Change the source Guide or Form when future runs need different steps or questions.

Where to look

  • Library holds working content such as folders, Guides, Forms, Courses, files, and templates.
  • Learn holds assigned or added learning content, including Courses and References from Catalog.
  • Catalog offers approved content that can be added to Library or Learn when your access allows it.
  • Notes and Reports have their own destinations because they are day-to-day records rather than Library source content.

If an action is missing

Available actions depend on the content type, current workspace, your access, and the platform you are using. If you cannot edit, move, publish, share, download, or submit something:

  1. Confirm you are in the intended workspace.
  2. Check that you opened the right destination: Library, Learn, Catalog, Notes, or Reports.
  3. Clear search terms, filters, and folders that might hide the item.
  4. Check whether the item or folder is read only.
  5. For Catalog learning content, add the item to Learn before expecting learner progress.
  6. For a missing Report, confirm the Guide or Form was completed or submitted.
  7. For a file that stays failed or processing, use the visible retry action or upload a fresh copy.
