Understand private-pay invoice dates
Follow full-price rolling, calendar-alignment, and monthly service periods.
Private pay moves from one rolling month to calendar-month billing. Every invoice charges the agreement's full monthly price; CareMap does not prorate the calendar-alignment term.
Read the schedule
- Open the account's Licenses → Private pay agreement in Admin.
- Check its Billing time zone and monthly amount.
- Find the invoice's term, due date, and service-period dates.
- Compare its term with the schedule below.
- Use Open invoice, when available, to inspect the hosted invoice.
| Term | Timing |
|---|---|
| Initial term | Issued after customer preparation, due 14 calendar days later. Its service period starts when the first payment is confirmed and lasts one calendar month. |
| Calendar-alignment term | Scheduled 14 calendar days after that payment, due another 14 calendar days later. Service starts when the initial term ends and lasts at least one further calendar month, ending at the first calendar-month boundary at or after that point. |
| Monthly term | Scheduled on the preceding month's 15th and due on the first day of the covered month. Service covers that calendar month. |
These calculations use the agreement's time zone, including daylight-saving changes. Calendar months are not fixed 30-day periods. When the corresponding day does not exist in the next month, the rolling period uses its last day.
Example
For a $600 initial payment at midnight on August 20 in the agreement's time zone:
- The initial $600 term covers August 20 through September 19.
- The next $600 invoice is scheduled September 3, due September 17, and covers September 20 through October 31.
- The following $600 invoice is scheduled October 15, due November 1, and covers November.
Payment at a different time of day retains that time for the rolling month. The screen displays dates without times, so adjoining service periods can show the same calendar date even though their exact boundaries meet.
An alignment period already ending at midnight on the first needs no further rounding. Invoice preparation or delivery can happen after a scheduled issue time; a scheduled date is not proof that the contact received an invoice.
Late payment does not move later calendar terms or automatically suspend the continuous License. See collection outreach.
