Support Coordination approvals

Start authenticated referrals, record external approval steps, answer pends, and review Support Coordination Cases.

Use Support coordination to start an authenticated referral, complete assigned approval work, answer pend questions, and review Cases for your active Organization role.

CareMap records your manual WAMS and DBHDS attestations. CareMap does not connect to or verify WAMS or DBHDS. Complete the external action first, then record its reference in CareMap.

Start a referral

  1. Open an Organization where your account can use the Support Coordination role.
  2. Select Referral, then use New referral.
  3. Choose a ready Clinician Organization. Only Clinician Organizations currently able to receive authenticated referrals appear.
  4. Enter the client, referral, desired outcome, and assessment-contact details.
  5. Choose Assistive technology (AT), Environmental and home-based supports (EHBS), or both.
  6. Confirm that you have permission to share the information, then select Submit referral.

CareMap creates the Case immediately, routes assessment work to the selected Clinician Organization, and opens the Case. This workflow requires a signed-in eligible Organization operator; it does not use a public referral link.

If no Clinician Organization is listed, ask an Organization manager to confirm that the intended Clinician has an active role, an eligible operator, and a ready AT Services route.

Use the dashboard tabs

  • Referrals lists active referrals associated with your account in the Organization. Open one to review its current lanes and work.
  • Pend responses contains questions assigned to Support Coordination. Claim a response, supply the requested information and allowed evidence, and submit it. The Supplier consolidates the overall pend.
  • Cases includes active and historical Cases visible to your role, including Cases that no longer appear in the active referral list.

Record WAMS and DBHDS work

Open a Case and choose the relevant AT or EHBS lane. Claim each open work item before completing it.

  • For WAMS-line work, complete the external step, then enter the WAMS line identifier or reference. Notes and supporting evidence are optional.
  • For DBHDS submission work, review the preserved WAMS Return Packet, complete the external submission, and record its reference. Notes and supporting evidence are optional.
  • For pend resubmission work, review the preserved Pend Packet and responses, complete the external resubmission, and record its reference.

Recording a DBHDS submission starts the displayed ten-business-day review clock. A pend resubmission starts a successor clock without replacing the earlier cycle. These clocks track the Case in CareMap; they do not promise an external agency response time.

Recover from missing or failed work

  • Select Refresh and check Cases when an expected referral or work item is missing.
  • Do not act on work claimed by another coordinator. An authorized operator can release or reassign eligible work.
  • If CareMap says the Case, lane, or work item changed, refresh and repeat the action from the current state.
  • If evidence upload or a preserved document fails, keep the original file, record the Case reference and visible message, and try again. Do not send sensitive files through an unsecured channel.
