Organization Clients
Manage organization Clients when your role provides that authority.
Organization Clients are person records assigned to an organization. They help the organization find the people it supports, make those clients available in organization workflows, and prepare client-specific sign-in options for shared devices when that workflow is configured.
Who can use Clients
Open the organization workspace and choose Organization > Clients. In Admin, open Admin > Access > Organizations, select an organization, then choose Clients.
Owners and CareMap administrators can add or remove Clients and manage client magic keys. Manager Staff may be able to review the Clients list, but the assignment and magic-key controls are unavailable unless they also have Owner or administrator authority.
Review assigned Clients
The Clients list shows each assigned client's Name, Status, Detail, Person id, and active Magic keys. Use the page search to narrow the assigned list, and select a column heading to change the sort order.
If the list says No clients assigned, the organization does not yet have any client person records assigned. If it says No clients match this search, clear or change the search.
Add a Client
- Choose Add client.
- Use Assign existing to search by name, detail, status, or person id.
- Select the matching person record.
- Choose Assign client.
Already-assigned results are marked Already assigned and cannot be selected. If the person is not available in search, use Invite by email from the same dialog or ask an administrator to check whether the person record exists and is visible to you.
Invite a Client by email
Use Invite by email when the Client should accept access from an emailed invitation. Enter the invite email, then choose who will use the client access: your account or one of the listed person records. Choose Send invite.
Pending invitations appear in the organization's Invitations section. From there, authorized users can Copy invite link, Resend, or Revoke a pending invitation. Copying an invite link rotates it, so the previous link stops working.
Use client magic keys
Magic keys are client sign-in helpers for organization shared devices. They only work on active shared devices registered to the same organization.
In a Client row, use Create key to create a magic key. Then use Copy to copy the key, QR to show or download a QR code, or Revoke to disable an active key. A Client must be linked to a CareMap account before magic-key sign-in can be created for that Client.
Remove a Client
Choose Remove or Remove client from the Client row, then confirm the removal. Removing a Client removes that organization assignment and can affect which Staff can find the client in organization workflows. It does not delete the underlying person record.
If Clients is missing or unavailable
- Switch to the correct organization workspace and make sure its access is active.
- Confirm that your role permits the action. Owners and administrators manage Clients; other Staff may have read-only access.
- Clear the search and refresh the organization detail if a Client or invitation changed recently.
- If adding, removing, inviting, or magic-key actions fail, review the visible message and retry after correcting the selected person, email, or role.
